Administration Assistant (6-Months Contract)

We are seeking a proactive and detail-oriented individual to join our team as an HSE Administrator for a 6-month contract from April 2025 to October 2025. This role will involve supporting our Health, Safety, and Environment (HSE) efforts and ensuring compliance with workplace safety standards.

Key Responsibilities:

• Report unsafe work practices, hazardous conditions, and any potential safety risks, ensuring prompt corrective actions are taken.

• Conduct Safety Orientation sessions for new hires, educating them on workplace safety, health, and environmental protocols.

• Assist in coordinating and supporting department promotional activities related to safety initiatives.

• Take minutes for the monthly Safety Committee meetings and update the Safety Board regularly.

• Develop presentation materials, statistical reports, and documentation related to HSE activities.

• Communicate with regional subsidiaries to provide support and assistance when required.

• Prepare and submit departmental statistical reports (e.g., KPI reports, Safety Action Reports) to relevant teams.

• Maintain and update the company server with the latest HSE-related documents and materials.

• Oversee the requisition and distribution of Personal Protective Equipment (PPE).

• Act as the Document Controller for the common server, ensuring HSE-related documents are organized and accessible.

• Provide necessary file names to other departments as requested.

• Ensure the HSE folder is consistently updated for easy access by other departments.

• Manage the HSE-related server and ensure all documentation is up to date.

• Provide administrative support as required for the HSE department.

Requirements:

• Strong organizational and communication skills.

• Ability to manage multiple tasks and meet deadlines.

• Experience in HSE or administrative support is a plus.

• Proficiency in Microsoft Office Suite and document management systems.

• Attention to detail and a proactive attitude.
