A reputable financial institution in Singapore is seeking an experienced Administration Manager to oversee all administrative operations. Our client, a reputable financial institution, is looking for a highly capable and experienced Administration Manager to oversee the full spectrum of administrative operations at their Singapore branch.
Responsibilities
This is a leadership role that requires a hands-on professional with a strong background in banking administration, facilities management, vendor relations, and office support functions. The successful candidate will be responsible for managing a small team, including a receptionist and an assistant officer in charge of payments, and will report directly to the Chief Financial Officer.
The Administration Manager will play a pivotal role in maintaining efficient day-to-day operations, with responsibilities spanning facilities and premises management, including tenancy renewals, office renovations, layout planning, and security oversight such as access card administration. This individual will also lead the reception and mailroom operations, ensuring effective front desk services and communications.
Another key focus area is procurement and vendor management, where the manager will drive purchasing decisions, vendor selection, contract negotiation, and the overall governance of third-party service providers. The role also oversees business travel arrangements, ensuring alignment with company policy, as well as central document storage and records management, including coordination with third-party archiving services. The manager will also administer and verify payment processes to ensure timely and accurate authorizations.
Requirements
Ideal candidates will bring at least 8 to 10 years of relevant experience within the banking sector, with strong capabilities in multitasking, prioritization, and working independently under pressure. A high level of professionalism and discretion is essential, given the exposure to sensitive information. The role demands excellent communication skills, both written and verbal, and the ability to collaborate across all levels of the organization.
