Job summary
A financial services company in Singapore is seeking an HR & Admin Officer to oversee recruitment, manage office supplies and coordinate company events. The ideal candidate should hold a diploma, be detail-oriented, and possess strong communication skills. - Manning of Company’s email and Office Telephone Directory listing.
- Plan, forecast and manage general office and pantry supplies and related expenses.
- Office festive decoration
- Organizing Company Events and staff wellbeing activities.
- CEO’s secretariat duties: Handle scheduling and updating of appointment calendars. Booking of Air-tickets and Hotel Bookings for Board of Directors
- Perform general marketing duties (printing of corporate gifts, calendars, diaries, T-shirts, managing social media accounts etc)
- Prepare for quarterly Board Meetings – Prepare Agendas and Board Meeting documents, coordinate with multiple stake holders, review documents, timely submission of Board Minutes
- Manage Portals pertaining to Board Meetings
- Coordination with Board of Directors
- Handle end to end recruitment – Job posting, screening CVs, coordinate to schedule interviews etc.
- Onboarding and Offboarding Employees
- Perform necessary checks while hiring – Lexis Nexis, Insolvency, Background Check etc.
- Manage HR management system
- Employee Leave management
- Prepare and process office orders
- Maintain Organisation Chart and regular OED updates on MOM Portal
- Prepare and process Visa Letters for delegates visiting company from overseas
- Perform general clerical duties
- Support HR & Admin and operational workflow
- Monitoring Time attendance & leave records
- To cover reception duties when the receptionist is on leave or as and when required
- Any other duties as assigned by Head of Department or any Competent Authority
Requirements
- Minimum diploma holder in any discipline.
- Meticulous, well-organised, detail-oriented, multi-tasker, resourceful and solution finder.
- Good command in writing.
- Good working attitude and passion to learn
- Proactive attitude - constantly looking at ways to improve efficiency and job performance.
- Able to work independently as well as a team-player
- Computer literacy skills is essential
- Effective communication and interpersonal skills
- Candidates who are able to commence within short notice will be an added advantage
