Admin Officer
Working days: 5.5 days, Monday to Saturday, half day
Working hours: 8:30 AM - 5:30 PM, or 8:30 AM - 1:30 PM
Salary: $2500 - $2800
Location: Orchard
Responsibilities:
1. Finance
- Manage obligations to suppliers, customers, and third-party vendors
- Process bank deposits
- Reconcile financial records
- Prepare, send, and store invoices
- Contact clients and send reminders to ensure timely payments
- Submit tax forms
- Identify and address discrepancies
- Report accounts payable and receivable status
- Update internal accounting databases and spreadsheets
- Keep track of all papers, bills, and meeting minutes
- Assist accountants with financial data and report preparation
- Prepare and keep track of taxes and filings
2. HR
- Organize, maintain, and update internal databases with digital personnel records, including leaves, claims, and attendance
- Supervise onboarding of new employees, prepare offer documentation, and conduct orientation sessions
- Update company policies and FAQ documents
- Generate reports with KPIs such as turnover rates and hires by department
- Schedule interviews, contact, screen, and shortlist candidates
- Prepare correspondence, arrange meetings, and handle confidential reports and documents
- Handle employee queries with utmost confidentiality
3. Clinic
- Assist with daily administrative duties in the clinic
- Perform administrative tasks related to clinic operations as required by management
