Job description

Admin Officer

Working days: 5.5 days, Monday to Saturday, half day

Working hours: 8:30 AM - 5:30 PM, or 8:30 AM - 1:30 PM

Salary: $2500 - $2800

Location: Orchard

Responsibilities:
1. Finance
  • Manage obligations to suppliers, customers, and third-party vendors
  • Process bank deposits
  • Reconcile financial records
  • Prepare, send, and store invoices
  • Contact clients and send reminders to ensure timely payments
  • Submit tax forms
  • Identify and address discrepancies
  • Report accounts payable and receivable status
  • Update internal accounting databases and spreadsheets
  • Keep track of all papers, bills, and meeting minutes
  • Assist accountants with financial data and report preparation
  • Prepare and keep track of taxes and filings
2. HR
  • Organize, maintain, and update internal databases with digital personnel records, including leaves, claims, and attendance
  • Supervise onboarding of new employees, prepare offer documentation, and conduct orientation sessions
  • Update company policies and FAQ documents
  • Generate reports with KPIs such as turnover rates and hires by department
  • Schedule interviews, contact, screen, and shortlist candidates
  • Prepare correspondence, arrange meetings, and handle confidential reports and documents
  • Handle employee queries with utmost confidentiality
3. Clinic
  • Assist with daily administrative duties in the clinic
  • Perform administrative tasks related to clinic operations as required by management
