Job description

The Admin Executive, Health Management Team (AE, HMT), supports REACH’s Health Management Team by providing administrative, logistical, and operational assistance. He or she plays a vital role in implementing health-related initiatives and coordinating outreach efforts, especially in collaboration with Active Ageing Centres (AACs) and related services. Beyond core responsibilities in finance, reporting, and administration, the AE, HMT may also contribute to client engagement and communication activities. This includes outreach to senior clients—particularly those from minority communities—and providing frontline support where needed.

As a key member of REACH Senior Service, the AE, HMT is expected to uphold and align with the vision, mission, and strategic objectives of REACH Community Services.

ROLES & DUTIES

1. Administration and Reporting

  • Ensure timely preparation and submission of reports and documentation for internal monitoring and regulatory compliance.
  • Gather and consolidate operational and programmatic data from relevant teams and systems.
  • Provide administrative support for audits, training sessions, and compliance-related activities as required.

2. Finance and Procurement Support

  • Support the preparation and submission of Request for Quotations (RFQs), payment vouchers, and petty cash claims in a timely and accurate manner.
  • Ensure proper documentation and systematic record-keeping to maintain audit-readiness and compliance with financial policies and procedures.

3. Facilities and Operations Coordination

  • Maintain vendor and maintenance contact lists.
  • Coordinate basic repair and servicing needs across assigned sites or centres.
  • Support logistics and space arrangements for meetings, programmes, or events.

4. Staff Onboarding and Training Records

  • Coordinate onboarding and offboarding logistics, including the setup and deactivation of IT accounts.
  • Collaborate with HR and external providers to manage training registration and monitor completion.
  • Maintain and regularly update orientation schedules, staff training records, and access documentation.

5. Client Support and Safety Response

  • Monitor client safety systems, including the Alert Alarm System (AAS), and ensure adherence to standard response protocols.
  • Facilitate routine communication and follow-ups with clients and caregivers to support ongoing engagement and care.

6. Health Engagement and Community Support

  • Provide logistical support to the Health Management Team (HMT) in implementing HealthierSG initiatives, including screenings and outreach coordination.
  • Assist in distributing health-related information and reminders in alignment with team directives.
  • Coordinate basic engagement efforts with targeted client segments, such as minority seniors, to promote inclusivity in outreach activities.

7. Reception and Frontline Duties

  • Deliver counter support by attending visitors and seniors, and directing inquiries to appropriate team members.
  • Assist with centre-based operations, including reception coverage, client services, and logistical setup.

8. Other Duties

  • Undertake additional responsibilities and assignments as delegated by supervisors to support departmental objectives and service delivery.

REQUIREMENTS

· Minimum qualification of a Diploma or General Degree.

· Additional credentials in Business Administration, Data Analysis, or Actuarial Science are advantageous but not required.

· At least 2 years of relevant professional experience.

· Proficient in English and a second language; ability to converse in a minority language or dialect will be an added advantage.

· Strong communication and interpersonal skills.

· Enthusiastic, dynamic, and self-driven individual.

· Demonstrated passion for outreach initiatives and community engagement with senior populations.
