Job description

5 Days Work Week

Monday to Friday : 0830 – 1745

Job Responsibilities

  • Attend to walk-in visitors.
  • Answer and direct incoming phone calls.
  • Ensure that the reception lobby and meeting rooms are well maintained.
  • Serve drinks and direct clients to meeting rooms.
  • Order and monitor office, pantry, and PPE supplies.
  • Manage and place orders for office supplies (stationery, business cards, etc.) and maintain contact lists.
  • Produce and distribute correspondence memos, letters, faxes, and forms.
  • Provide general administrative support, including data entry, photocopying, scanning, and filing.

HR Responsibilities

  • Update and organize employee P-files and digital HR folders, ensuring accuracy, completeness, and compliance with company policies.
  • Organize and track employee leave daily and provide internal updates via email.
  • Assist with payroll calculations, work pass matters, and employee onboarding and offboarding processes.
  • Assist HR department in communicating with external vendors regarding company matters, including obtaining quotes and other relevant information.
  • Handle other HR-related tasks as assigned.

Sales Responsibilities

  • Support the sales team by handling administrative tasks, including downloading technical information from customers' portals.
  • Manage customer databases and ensure all relevant sales information is up to date.
  • Collaborate with the Sales Support team to ensure all sensitive or confidential information in drawings and documents is masked or redacted before sending to vendors for quotes.
  • Handle administrative tasks such as organizing and filing sales-related documents.

Accounts Responsibilities

  • File payment vouchers, tax invoices, and related documents.
  • Prepare and print file labels.
  • Sort incoming suppliers’ documents.

Minimum Requirements

  • Able to speak both English and Chinese.
  • Minimum GCE ‘O’ level and above.
  • Meticulous, organized, and able to work independently in a challenging environment.
  • Excellent written and verbal communication skills and ability to work with all levels of management.
  • Proficiency in MS Software, e.g., Word, Excel, and PowerPoint.
  • Able to multi-task.
  • A good team player with strong work ethics.
