Admin cum Assistant Purchaser (Civil Construction)
Bukit Batok

5.5 days Alternate Saturday

Roles & Responsibilities

1. Administrative Support
  • Manage office documentation including filing, photocopying, data entry, and correspondence.

  • Maintain project files and ensure documents are updated and accessible for audit or reference.

  • Handle general administrative tasks such as answering phone calls, scheduling meetings, and managing emails.

  • Assist in preparation and submission of site reports, permits, and regulatory documents.

2. Procurement Support
  • Assist in sourcing and selecting suppliers for construction materials, tools, equipment, and services.

  • Prepare purchase requisitions and purchase orders.

  • Liaise with site supervisors and project managers to understand material requirements.

  • Track delivery schedules and ensure timely delivery to site.

  • Check and verify supplier invoices, delivery orders, and receipts.

  • Follow up on outstanding or delayed orders.

3. Inventory & Stock Control
  • Monitor stock levels and update inventory records.

  • Coordinate with site storekeepers for stock replenishment.

  • Perform basic stock-taking duties to reconcile physical inventory with system records.

4. Vendor Coordination
  • Maintain good relationships with vendors and suppliers.

  • Assist in evaluating vendor performance (e.g., quality, cost, delivery).

  • Ensure documentation related to vendors (contracts, agreements, quotations) is properly filed and updated.

5. Support for Tender & Quotation Processes
  • Assist in obtaining and consolidating supplier quotations.

  • Support the purchasing team during tender submissions and cost estimation exercises.

Key Activities

  • Daily coordination with suppliers and site team.

  • Data entry and document control using Excel, ERP or procurement software.

  • Preparation of basic procurement reports (e.g., Purchase Request vs PO tracking, delivery status).

  • Filing and archiving of project and procurement documentation.

  • Any other task assigned by the Company.

Ability in bilingual for English and Mandarin, required to coordinate with site chinese staff, china suppliers and chinese sub-contractors.
