Admin cum Assistant Purchaser (Civil Construction)

Manage office documentation including filing, photocopying, data entry, and correspondence.
Maintain project files and ensure documents are updated and accessible for audit or reference.
Handle general administrative tasks such as answering phone calls, scheduling meetings, and managing emails.
Assist in preparation and submission of site reports, permits, and regulatory documents.
Assist in sourcing and selecting suppliers for construction materials, tools, equipment, and services.
Prepare purchase requisitions and purchase orders.
Liaise with site supervisors and project managers to understand material requirements.
Track delivery schedules and ensure timely delivery to site.
Check and verify supplier invoices, delivery orders, and receipts.
Follow up on outstanding or delayed orders.
Monitor stock levels and update inventory records.
Coordinate with site storekeepers for stock replenishment.
Perform basic stock-taking duties to reconcile physical inventory with system records.
Maintain good relationships with vendors and suppliers.
Assist in evaluating vendor performance (e.g., quality, cost, delivery).
Ensure documentation related to vendors (contracts, agreements, quotations) is properly filed and updated.
Assist in obtaining and consolidating supplier quotations.
Support the purchasing team during tender submissions and cost estimation exercises.
Daily coordination with suppliers and site team.
Data entry and document control using Excel, ERP or procurement software.
Preparation of basic procurement reports (e.g., Purchase Request vs PO tracking, delivery status).
Filing and archiving of project and procurement documentation.
Any other task assigned by the Company.
Ability in bilingual for English and Mandarin, required to coordinate with site chinese staff, china suppliers and chinese sub-contractors.
