Job description

Job Purpose:

The Admin cum HR Executive is responsible for supporting various human resource functions including recruitment, staffing, payroll, training and development, performance appraisal, leave management, and staff counseling.

Key Responsibilities:

  1. Recruitment Process
  2. Coordinate staff recruitment and selection to ensure timely hiring.
  3. Prepare and post job advertisements on platforms like Jobstreet, JobBank, etc.
  4. Liaise with recruitment agencies for foreign workers.
  5. Schedule, organize, and participate in interviews.
  6. Conduct reference checks on shortlisted candidates, if required.
  7. Employment Process
  8. Prepare Letters of Offer for selected candidates.
  9. Coordinate signing of offer letters and collection of necessary documents such as bank details, certificates, and testimonials.
  10. Provide basic orientation to new employees.
  11. Arrange workplace setup, including computers and office supplies.
  12. Create new employee records in the Whyze HR system.
  13. Work Pass Process
  14. Familiar with MOM procedures for Work Permits and S Pass applications.
  15. Inform candidates of approved work passes.
  16. Arrange medical checkups and other MOM-required processes.
  17. Handle security bonds and e-issue of approval letters.
  18. Manage work pass cancellations and levy waivers when applicable.
  19. Payroll Process
  20. Understand staff pay structures.
  21. Verify attendance records.
  22. Upload payroll data, check for accuracy, and generate payroll summaries.
  23. Ensure timely submission of bank payments and CPF contributions.
  24. Maintain payroll supporting documents for audits.
  25. Training Administration
  26. Monitor and update training records.
  27. Source and register staff for approved courses.
  28. Highlight mandatory training to management.
  29. Arrange payments and inform staff of training details.
  30. File training certificates upon completion.
  31. Leave Management
  32. Update and monitor leave records.
  33. File supporting documents like medical certificates.
  34. Workman Compensation Management
  35. Coordinate incident reports with supervisors.
  36. Submit MOM reports for extended medical leaves.
  37. Inform WICA insurance and submit supporting documents.
  38. Monitor and file WICA case documents until closure.
  39. Office Administration
  40. Ensure daily cleaning of office environment and dustbins.
  41. Maintain office supplies and equipment.
  42. Ensure cleanliness of unoccupied workstations.
  43. Additional Duties
  44. Perform any other ad-hoc duties as assigned.
