Job Purpose:
The Admin cum HR Executive is responsible for supporting various human resource functions including recruitment, staffing, payroll, training and development, performance appraisal, leave management, and staff counseling.
Key Responsibilities:
- Recruitment Process
- Coordinate staff recruitment and selection to ensure timely hiring.
- Prepare and post job advertisements on platforms like Jobstreet, JobBank, etc.
- Liaise with recruitment agencies for foreign workers.
- Schedule, organize, and participate in interviews.
- Conduct reference checks on shortlisted candidates, if required.
- Employment Process
- Prepare Letters of Offer for selected candidates.
- Coordinate signing of offer letters and collection of necessary documents such as bank details, certificates, and testimonials.
- Provide basic orientation to new employees.
- Arrange workplace setup, including computers and office supplies.
- Create new employee records in the Whyze HR system.
- Work Pass Process
- Familiar with MOM procedures for Work Permits and S Pass applications.
- Inform candidates of approved work passes.
- Arrange medical checkups and other MOM-required processes.
- Handle security bonds and e-issue of approval letters.
- Manage work pass cancellations and levy waivers when applicable.
- Payroll Process
- Understand staff pay structures.
- Verify attendance records.
- Upload payroll data, check for accuracy, and generate payroll summaries.
- Ensure timely submission of bank payments and CPF contributions.
- Maintain payroll supporting documents for audits.
- Training Administration
- Monitor and update training records.
- Source and register staff for approved courses.
- Highlight mandatory training to management.
- Arrange payments and inform staff of training details.
- File training certificates upon completion.
- Leave Management
- Update and monitor leave records.
- File supporting documents like medical certificates.
- Workman Compensation Management
- Coordinate incident reports with supervisors.
- Submit MOM reports for extended medical leaves.
- Inform WICA insurance and submit supporting documents.
- Monitor and file WICA case documents until closure.
- Office Administration
- Ensure daily cleaning of office environment and dustbins.
- Maintain office supplies and equipment.
- Ensure cleanliness of unoccupied workstations.
- Additional Duties
- Perform any other ad-hoc duties as assigned.
