We are seeking a highly organized and tech-savvy Administrative Coordinator to join our team. This hybrid role is ideal for someone who thrives in a fast-paced environment, has exceptional administrative skills, and possesses a strong foundation in IT support and systems.
Administrative Duties:
- Manage day-to-day administrative operations for the department or office.
- Coordinate schedules, meetings, and events, including preparing agendas and taking meeting minutes.
- Maintain organized filing systems (physical and digital) and ensure records are up to date.
- Handle communication with vendors, internal teams, and external stakeholders.
- Assist with document preparation, report creation, and internal communications.
- Oversee general office operations, including supply management, vendor coordination, and office maintenance.
- Organize and schedule meetings, appointments, and travel arrangements for staff.
- Maintain office documentation, records, and filing systems (digital and physical).
IT Responsibilities
- Provide first-level support for hardware, software, and network issues for on-site and remote employees.
- Set up and configure new workstations, email accounts, and user access permissions.
- Monitor and manage IT inventory (laptops, phones, peripherals).
- Liaise with external IT support vendors for escalated issues or maintenance needs.
- Assist with the administration of cloud tools (e.g., Microsoft 365, Google Workspace, Zoom, Slack).
- Support internal cybersecurity protocols, software updates, and data backups.
- Maintain office and business automatic systems.
Qualifications
- 2+ years of experience in office administration or similar roles.
- Solid understanding of basic IT support, troubleshooting, and common software tools.
- Proficiency with Microsoft Office Suite and/or Google Workspace.
- Strong interpersonal and communication skills.
- Highly organized with attention to detail and a problem-solving mindset.
- Ability to multitask and prioritize tasks independently.
Preferred Qualifications
- Associate’s or Bachelor’s degree in Business Administration, Information Technology, or a related field.
- Familiarity with help desk systems, basic networking, or remote access tools.
- Previous experience managing small office environments or hybrid teams.
- Knowledge of data privacy and cybersecurity practices.
