A leading university in Singapore is seeking an Executive Assistant to support various administrative functions in the President's office. The role requires a proactive and confidential approach to manage schedules, communication, and coordination with internal stakeholders. Ideal candidates will be meticulous, adaptable, and possess strong communication skills, with a proven track record in a similar position.
You will be responsible for performing an array of administrative functions requiring confidentiality, initiative and sound decision-making. You will prioritise effectively, applying your understanding of key objectives to daily activities. Strong written and verbal communication, coupled with a proactive approach to follow-up, are essential. You are to maintain strict confidentiality of sensitive information through discreet handling and has a high degree of professional maturity.
Responsibilities
You will be reporting to the manager in President’s office.
• Manage President’s calendar for all meetings and events, including the coordination of drivers’ daily schedule.
• Manage President’s general mailbox and distribution of internal comms originating from President’s Office.
• Work with other Executive Assistants (who support senior management and directors) to ensure information flow and seamless coordination of internal activities, meetings, and travel arrangements
• Maintain an organised and up-to-date filing system, for documents, records, and other essential information related to the Office of President.
• Serve as the primary point of contact for all MOE-related inquiries and meetings.
• Assist with President’s research admin matters.
• Assist to support events and visits as required and prepare relevant documents for meetings and engagements.
• Undertake other administrative responsibilities and ad-hoc assignments as required.
Requirements
• Proven experience: Minimum 2 years as an Executive Assistant
• Demonstrated adaptability and openness to change
• Strong interpersonal skills
• Collaborative team player
• Proficiency in MS Office Suite
• Strong oral and written communication skills
