Job description

Overview

You will provide general office administration support with a variety of clerical activities and related tasks, including but not limited to answering phone calls, referring inquiries, receiving visitors, maintains office security by following procedures (monitoring logbook, issuing visitor badges), handle time management system, access cards, laundry and safety shoes

How You’ll Make an Impact:

  • Travel arrangement, calendar management, organize meeting, collate and prepare information and presentation materials for use in executive meetings
  • Manage front office and provide support in the absence of receptionist, office administration activities such as maintenance of office equipment, purchase of office supplies, consumables & stationeries, mails and courier and liaise with building management, lockers and office keys management, update telephone list, raise PR, ensure cleanliness of pantry and office environment
  • Manage access cards
  • Vendor management including sourcing of new vendors and suppliers, review competitiveness of existing vendors and suppliers, and keep track of office equipment lease agreements and contract.
  • Provide hospitality to executive business partners and visitors from local and overseas
  • Plan and organize company events, activities, staff welfare, gathering, town hall, etc

  • Diploma in Business Administration or related disciplines
  • At least 5 years of relevant working experience in office administration with travel arrangement knowledge
  • Pleasant personality with excellent interpersonal and communication skill with good telephone manner
  • Able to work independently with minimal supervision.
  • Proficient with Microsoft Office application
  • Able to multi-task and work well under pressure and strict timeline
  • Independent, meticulous, resourceful, good time management and ability to prioritize
  • Good communication, interpersonal skill and negotiation skills
  • Team player
  • Working experience on Time Management System and Access Cards Management an added advantage
