Admin Assistant - Specialty Care and Oncology

Role Summary: This role provides administrative support to the VP for Emerging Markets within the therapeutic area and their team members (Regional TA Leads, Commercial Leads, and BMLs), reporting into the VP for EM Specialty Care and Oncology.

Responsibilities: Will include traditional administrative tasks such as managing calendars, scheduling travel and meetings, expense reports, handling off-site meeting planning, managing Microsoft Teams Sites, and onboarding logistics for new colleagues. The individual will partner closely with other administrative and operations professionals to provide comprehensive support.

To succeed, candidates should be well-organized professionals capable of working autonomously in a complex environment. Strong communication and collaboration skills are essential for coordinating cross-functional teams and engaging with diverse stakeholders. Proactive problem-solving and a positive, inclusive attitude are valued.

Detailed Role Responsibilities
  • Manage complex global calendars, scheduling high-level, time-sensitive meetings with many participants.
  • Organize and support team meetings, including YBM, Town Halls, 1:1s, and off-site meetings, including agenda preparation, minutes, and follow-up.
  • Support key processes, tracking steps, and coordinating calendar planning and execution.
  • Handle travel arrangements, including visas and expenses.
  • Manage incoming/outgoing mail, including sensitive and confidential correspondence.
  • Create and maintain distribution lists, organizational charts, rosters, and electronic files.
  • Support projects and initiatives as needed.
  • Manage key projects via Ariba, ePA3, Engage, and vendor credentialing systems.
  • Assist with onboarding new hires, arranging interviews, internal transfers, updating systems, and shipping equipment.
  • Assist with communications and coordinate visits, conferences, and symposium attendance.
  • Serve as a liaison between US and international offices to ensure proper communication and administrative alignment.
  • Register LATAM, AFME, and Asia visitors with Security, and coordinate with security teams for visitors from other sites.
Qualifications
  • 3-4 years of professional experience in administrative roles, demonstrating proactive and proficient administrative functions.
  • Excellent attention to detail, time management, organization, and prioritization skills.
  • Proficiency with office procedures and experience coordinating domestic and international travel.
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Office (Outlook, Teams, OneNote) and experienced with applications like Concur, WebEx, and Ariba.
