Job description

We are seeking a motivated and detailed oriented individual to join our team as an Administrative Executive. This exciting role will focus on administrative tasks to support the division and sales team to ensure overall operations runs smoothly.

Working hours - Monday to Friday, 9am to 6pm

Work Location - 61 Ubi Avenue 2, Automobile Megamart, #01-07, Singapore 408898

Job Description

  • Ensure all sales documents for new and used cars are accurate and properly maintained.
  • Manage new car registrations, warranty reports, and prepare delivery documents.
  • Handle division-related claims and invoices.
  • Oversee loans, refunds, forfeited deals, and referral cases.
  • Maintain records of spare keys and manuals.
  • Track team members' off days and annual leave.
  • Monitor new car sales by retrieving new cases from the system and updating records of existing cases.
  • Liaise with building management on season parking arrangements and showroom vehicle movements.
  • Print and organize documents for case files.
  • Manage COE bidding confirmation cases and submissions.
  • Prepare the COE Secured report.
  • Maintain the overall appearance of the showroom and office.
  • Prepare the New Car Warranty & Servicing Report.
  • Compile and prepare salary slips upon receiving the finalized breakdown from the office.
  • Provide support for tasks assigned by the division head.

Requirements
  • Minimum 1-2 years of administrative-related experience
  • Possess at least GCE 'O' or 'N' Certificate
  • Able to work independently with minimum supervision in a fast-paced environment
  • Organized and detailed-oriented
  • Knowledgeable in Microsoft Office (Especially Excel)
  • Great team player with great communications skills
