Admin Assistant (Engineering)
Job description
Responsibilities
- Provide assistance to the Senior Project Manager in managing job number documentation related matters.
- Assist in negotiating and purchasing materials from both local & overseas suppliers.
- Submit approval of phone bills, petty cash, and leave forms for engineers.
- Update quotation control file records.
- Follow up on COC and other documents with engineers.
- Update internal databases with order details (dates, vendors, quantities, discounts).
- Work closely with management and various departments on their operational requirements.
- Monitor and follow up with vendors on delivery schedules.
- Maintain and manage proper document filing (e.g., photocopying, scanning, filing, and printing).
- Perform any other ad hoc duties as assigned.
Requirements
- GCE ‘N’ levels, ‘O’ levels, or ‘A’ levels qualification, ITE, Diploma, or equivalent.
- Minimum 1-2 years relevant working experience, preferably in the construction industry.
- Good communication, organizational, and interpersonal skills to coordinate with all levels.
- Proficiency in MS Office Suite (Word, Excel, Outlook).
- Possess excellent written and spoken communication skills.
- Capability to handle multiple tasks simultaneously and prioritize workload effectively in a fast-paced environment.
- Result-oriented, self-motivated, and able to work independently.
- High level of accuracy and attention to detail in all aspects of work.
- Able to commence work immediately or within short notice.
