Duties of the Administrative Assistant include providing support to our managers and employees, assisting with daily office needs, and managing our companys general administrative activities.MAIN CONTRIBUTION: OFFICE ADMINISTRATION WORK: Performing day-to-day operations of the administrative department and staff members. Ensuring the office is stocked with necessary supplies and that all equipment is working and properly maintained. Collecting, organizing, and storing information using computers and filing systems Maintaining inventory of office supplies and the purchasing of new materials with attention to budgetary constraints Handling facilities services, maintenance activities, and tradespersons (e.g electricians) Maintaining the office condition and arranging necessary repairs Address employees queries regarding office management issues (e.g., stationery, Hardware, and travel arrangements) Handling and maintaining all Office Agreements and vendor agreements in Pan India. Filing Management. TRAVEL MANAGEMENT: Manage end-to-end travel plans pan India efficiently and cost-effectively airlines, trains, transport, and hotels Negotiate on best rates through vendors every time there is a travel occurrence Manage emergency changes/cancellations in a professional and calm manner Handle all incoming Domestic travel requests and processes. VENDOR MANAGEMENT: Developing and sustaining long-standing relationships with company-approved vendors. Meeting with suitable vendors to assess their products, inquire about their services, negotiate pricing, and communicate any product or service-related concerns. Researching available vendors to determine which vendors offer the best pricing and product quality. Creating PO; WO for Admin-related work Implementing vendor selection programs to ensure that the best vendors are secured. Arranging interviews with new vendors and informing the Reporting Manager of their responsibilities and obligations. Establishing standards by which to assess the performance of approved vendors.Experience & Education Qualification:Bachelor's Degree with 1-3 Years experience in administration dept.Language: English, Hindi, Marathi, and any other regional language will be an added advantage.Specific Experience & Knowledge Required Knowledge of office management systems and procedures Proven experience as an Administrative Assistant. Working knowledge of office equipment.
