A property management firm in Singapore is seeking an administrative professional for Integrated Facilities Management. The ideal candidate will have administrative experience and be proficient in Microsoft Office, with strong attention to detail and organizational skills. Responsibilities include processing invoices, vendor management, and budget tracking. This role supports operational excellence within the team.
Work Dynamics - Integrated Facilities Management
Process invoices accurately and in a timely manner
Raise purchase orders according to company procedures
Register and onboard new vendors to the system
Monitor and track contract expiration dates
Purchase and maintain inventory of pantry and office supplies
Procure administrative items as needed
Maintain organized filing systems for contracts, invoices, and other financial documents
Reconcile expense reports and credit card statements
Assist with budget tracking and financial reporting
Coordinate with Finance department on payment schedules and discrepancies
Manage correspondence with vendors regarding billing inquiries
Support audit preparations by gathering and organizing required documentation
Schedule and coordinate meetings, including preparation of materials
Handle confidential information with appropriate discretion
Provide administrative support to team members as needed
Generate regular status reports on contracts, payments, and procurement activities
Assist with month-end and year-end closing procedures
Implement and maintain efficient administrative workflows
Perform additional administrative duties as directed by management
At least O level with English and Math subject passed or Diploma holder with at least 2 - 3 years of experience in Finance Admin and/or similar duties
Proficiency in Microsoft Office applications
Strong attention to detail and organizational skills
Ability to prioritize tasks and meet deadlines
Excellent communication skills, both verbal and written
Experience with procurement and invoice processing systems preferred
5.5 days work week (Monday to Friday, plus half-day on Saturday)
