Key Responsibilities

We are seeking a proactive and detail-oriented individual to join our team as an Administrative Assistant. The ideal candidate will play a pivotal role in ensuring the smooth operation of day-to-day administrative functions and programme support activities.

Responsibilities include:

  1. Attend to walk-in visitors, telephone calls, and email enquiries in a professional and timely manner.
  2. Manage general administrative tasks and maintain proper documentation.
  3. Process programme enquiries, registrations, and payments, and update relevant databases.
  4. Provide Information and Referral (I&R) services, and disseminate accurate information to the public.
  5. Coordinate with volunteers for various initiatives and maintain volunteer engagement.
  6. Collate and prepare simple financial and footfall report related to Café operations.
  7. Take accurate meeting minutes and ensure timely distribution.
  8. Liaise with cleaning staff and supervise daily cleaning operations.
  9. Assist in the setup of activity spaces for programmes and events.
  10. Ensure the premises are kept clean, tidy, and well-organized at all times.
  11. Manage inventory for café, procurement and office supplies; handle procurement for refreshments and event needs.
  12. Provide logistical and administrative support for team projects, events, roadshows, and booths.
  13. Perform any other duties as assigned by the supervisor or management.
Requirements
  • Strong interpersonal and communication skills
  • Ability to multi-task and work independently in a fast-paced environment
  • Proficient in Microsoft Office and administrative software
  • Prior experience in a similar role is an advantage
  • A team player with a proactive and service-oriented mindset
