Job summary

A Singapore-based engineering company is seeking an experienced Administrative Assistant to provide comprehensive support to the Director. Responsibilities include maintaining filing systems, preparing legal documents, and coordinating company events. The ideal candidate will hold a diploma, possess excellent communication skills, and have at least 3 years of relevant experience, with proficiency in MS Office.

Qualifications

Job description

  • Provide comprehensive administrative support to the Director.
  • Collaborate with the Director and provide assistance with all aspects of his daily work schedule.
  • Assist in the preparation and review of legal documents and filings.
  • Maintain electronic and physical filing systems, ensuring accurate and efficient document management.
  • Perform any other duties as assigned by the Director to ensure the smooth operation of the office
  • Answering phone calls, responding to emails, and handling inquiries. Coordinating with colleagues, and external parties.
  • Preparing reports, letters, presentations, and spreadsheets. Ensuring proper formatting and accuracy of documents using Work, Excel and PowerPoint
  • Assisting with the planning and execution of company events, special projects, or presentations.
  • Ordering, stocking, and distributing office supplies. Monitoring inventory levels.

Job Requirements:

  • Diploma or equivalent.
  • At least 3 years of relevant working experience is preferred.
  • Proficient in using MS Office.
  • Excellent communication and interpersonal skills.
  • Able to multi-task.
