An established industry player is seeking an efficient and organized individual to join their team as an Administrative Support Specialist. This role involves providing crucial administrative assistance to project teams, managing documentation, and ensuring compliance with audit requirements. You will play a vital role in enhancing processes and supporting various functions within the division. If you are highly motivated and possess strong communication skills, this opportunity allows you to thrive in a fast-paced environment while contributing to meaningful projects.
Duration: 1 year contract
Location: Cityhall (5 mins walk from Cityhall MRT)
Salary: $3200
Working Hours:
Monday - Thursday 8.30am-6pm, Friday 8.30am-5.30pm
Job Duties:
Support the team on administrative and project management work where required.
Administrative support to Project team inclusive but not limited to meeting arrangements, minutes taking and clearances, keeping track of job tasks, preparation of reports and documentation, etc.
Review and ensure Project Documents are complete and lodged in available organisation platforms for knowledge sharing; and Electronic Registry to comply with Audit requirement.
Participate in the development and implementation of enhanced processes for the Division; assist to identify areas for improvement.
Assist to create Division’s project databases; and compilation of documents and drawings to create standard reference templates for use.
Administrative support to the Division in other areas including but not limited to work planning, finance, meetings, management reports and staff events.
Job Requirements:
Degree
At least 3 years of working experience.
For no experience, training is provided
Experience in Minutes taking
Experience working on construction projects or construction related firms will be advantageous.
Efficient, organised, highly motivated with the ability to multi-task in a fast-paced environment.
Good coordination skill, meticulous and attentive to details.
Strong communication and writing skills.
Good team player and able to work independently when required.
