Job description

Admin & Account in charge of all aspects of admin and accounting work, produce full set of accounts for Group and subsidiaries. The manager is responsible for daily operation activities of accounting to ensure the function of finance is organized and filings for administrative work must be well maintained. She must provide accurate financial statements and management accounts monthly to accomplish compliance with corporate policies and statutory reports requirements.

The candidate demonstrates a leading role in working with a team of finance, admin, purchasing, and sales to comply with good internal control, liaise with external auditors, bankers, authorities, and regulators. The candidate must keep up to date with changing statutory FRS requirements and tax laws to determine implications for internal financial reporting.

Strong data analysis helps improve the performance of finance and the organization, develop good internal controls applicable to accounting policies to meet reporting requirements. Monthly and yearly reports are required by management, and the manager may collaborate with other department leaders to support the organization’s internal admin & account strategies.

Key responsibilities include:

  • Preparing monthly financial statements
  • Maintaining approval of journal entries
  • Planning for annual financial audits

General accounting functions

  • Managing daily admin & accounting activities and filing systems
  • Implementing policies and SOPs for internal controls to prevent fraud and errors
  • Calculating costs and controlling expenses for departments
  • Defining deadlines for monthly and yearly closings and ensuring compliance
  • Maintaining accurate journal entries and supporting documentation
  • Ensuring expense classification accuracy in SAP
  • Data extraction and analysis for management decision-making
  • Managing accounts payable/receivable, budgeting, and forecasting
  • Preparing accounting entries for assets, liabilities, prepayments, and accruals
  • Preparing financial statements and disclosures
  • Reviewing financial statements for accuracy and reasonableness
  • Preparing consolidated management reports with analysis and recommendations
  • Updating Chart of Accounts and accounting information
  • Liaising with external auditors and SAP consultants for system improvements

Administrative functions

  • Renewing company insurance, electrical licenses, and contracts
  • Supporting EDG project with government grants
  • Managing office supplies and other ad-hoc duties

Human Resources functions

  • Managing payroll, CPF submissions, and work pass renewals
  • Verifying employee leave and compliance with policies
  • Preparing employment and related HR documents
  • Circulating company memos and managing personnel reports
  • Supporting training schedules and performance appraisals
  • Handling other HR-related matters

This position involves a 5.5-day work week.
