Job summary

A leading company in marine consultancy is seeking an Office Administrator to handle accounting and administrative tasks. The ideal candidate will possess a diploma in Finance or Accounting and have at least three years of experience in the field. Responsibilities include managing accounts, preparing invoices, conducting bank reconciliations, and supporting consultants' administrative needs. Qualifications

  • Fluent in spoken and written English, additional languages advantageous.

Responsibilities

  • Assist with accounting entries, invoicing, and maintaining financial records.
  • Prepare monthly management accounts and liaise with relevant authorities.
  • Provide administrative support for consultants regarding timesheets and expenses.

Job description

To assist with office administrative and accounting for the Singapore office of Solis Marine.

Primary duties and responsibilities

Accounting

  • Assist with accounting/ invoicing entries and maintaining records relating to ongoing work and work completed in excel spreadsheets.
  • Preparation of invoices for work completed/ in progress, debit and credit notes, payments, issuance of cheques/ TT and bank reconciliation.
  • Preparation of intercompany invoices and assist with the posting of transactions (Quick Books or Zero).
  • Maintain records and process monthly business and personnel expenses incurred.
  • Assist with the preparation of monthly management accounts/ reports (P&L, accounts payable/ receivable)
  • Liaise with company secretary, bankers, local authorities, and other relevant parties pertaining to finance and account related matters
  • Responsible for monthly CPF contributions, tax clearance/ annual tax filing by working closely with Group Accountant.
  • Assist with payroll, CPF and any other required statutory submission.
  • Liaise with Group Accountant as required.

Administrative

  • Provide administrative support for consultants with regards to timesheets, monthly expenses etc.

Requirements

  • Diploma or graduate with a qualification in Finance/ Accounting/ Banking/ Business Administration.
  • 3 years of work experience in the accounting field.
  • Effective verbal and written communication skills.
  • Attention to details, high level of accuracy, efficiency, and accountability.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • PC literate (Excel, Word, PowerPoint).
  • Fluent in spoken and written English. Possession of any additional languages will be an advantage.
