Job description

Responsibilities:

  1. Work closely with the Operations Manager to provide Daily, Weekly, and Monthly Sales & Stock reports, ensuring effective and efficient company operations. Enforce company policies and procedures within the office.
  2. Process quotations, invoices, and related documents for clients.
  3. Coordinate with the store, marketing department, and transporters regarding the delivery of goods.
  4. Maintain administrative and financial reports and files to ensure data accuracy and currency.
  5. Support other teams by preparing necessary reports and documents for effective decision-making.
  6. Monitor and coordinate with distributors and regional offices on incoming and outgoing delivery reports.
  7. Ensure distributors' orders are received back at the office after delivery and follow up on missing orders.
  8. Perform data entry, conduct physical stock takes quarterly, and reconcile stock records.
  9. Perform accounting duties as assigned.
  10. Undertake ad-hoc duties as allocated by the Operations Manager.

Requirements:

  1. Candidate must possess at least GCE ‘O’ Level or equivalent, with 5-7 years of relevant work experience.
  2. Proven experience as an Accounts Assistant, proficient in Microsoft Office applications, especially Excel.
  3. Good interpersonal skills, with exceptional analytical abilities and clear, concise communication skills, both written and verbal.
  4. Ability to meet different expectations, and manage emotions effectively for successful communication.
  5. Good work attitude, reliable, flexible, enthusiastic, helpful, and self-motivated.
  6. Positive and proactive, with strong organizational skills, meticulous attention to detail, and high accuracy in work.
  7. Problem solver, capable of working independently with minimal supervision.
  8. Discretion, integrity, and loyalty, trustworthy and reliable in handling sensitive information.
  9. Multitasking skills, able to meet multiple deadlines and handle various tasks simultaneously.
  10. Resourcefulness, to utilize all available resources to find the best solutions.
