An established industry player is seeking a detail-oriented Accounts and Administrative Officer to manage financial records and provide administrative support to the Managing Director. This role involves processing invoices, payroll, and GST compliance, along with organizing office systems and scheduling meetings. Accurate processing of supplier invoices and payments, including staff claims and reimbursements. This involves verifying invoice details, obtaining necessary approvals, reconciling statements, and ensuring adherence to payment terms.
Managing and maintaining a complete set of financial records, such as the general ledger, accounts payable, accounts receivable, bank reconciliations, petty cash, and financial statements.
Preparing and processing all payments to suppliers, including online banking payments, GIRO, telegraphic transfers, and cheque payments upon approval, ensuring all invoices are booked accordingly.
Assisting in budgeting, forecasting, and financial analysis.
Managing Goods and Service Tax (GST) compliance, including registration.
Assisting in yearly audits.
Processing monthly payroll, CPF payments, and submission of IR8A.
Preparing all month-end financial reports as required.
Performing monthly bank reconciliations.
Liaising with external auditors, tax agents, and regulatory authorities.
Assisting Directors with ad hoc requirements and reports.
Organizing and maintaining the company's physical and digital filing systems, ensuring confidentiality of sensitive information.
Preparing reports, presentations, and other documents as requested.
Handling general office administration tasks such as record keeping, correspondence, and procurement of office supplies.
Answering phone calls, taking messages, and directing calls to appropriate personnel.
Arranging and coordinating internal and external meetings.
Taking minutes during meetings and following up on action points.
Liaising with clients, partners, and staff on behalf of the Director, if required.
Managing the executive’s calendar, scheduling meetings, and coordinating appointments.
Managing the Managing Director’s travel arrangements, including flights, accommodations, and itineraries.
Performing any other admin duties and PA support as required by the Managing Director.
