Job Opportunity: Finance & Administrative Assistant

We are seeking a detail-oriented and reliable Finance & Administrative Assistant to join our team. The ideal candidate will play a key role in ensuring financial accuracy, timely documentation, and smooth communication across departments. Key Responsibilities
Financial Record Keeping
  • Maintain accurate and up-to-date financial records.

  • Record daily transactions and promptly reconcile any discrepancies.

  • Assist with monthly bank reconciliations and support internal audit processes.

Accounts Payable & Receivable
  • Process vendor invoices, staff expense claims, and outgoing payments efficiently.

  • Issue invoices to clients and proactively follow up on outstanding receivables.

  • Track and archive all e-invoices in a systematic manner to ensure audit readiness.

Data Entry & Documentation
  • Input financial data accurately into accounting systems.

  • Update Statement of Accounts (SOA) sheets immediately upon receipt of supplier amounts.

  • Review payment tracking sheets regularly to ensure all items are properly completed.

  • Maintain organized and easily accessible records within the shared drive.

Administrative & Communication Support
  • Proactively check and respond to work emails on a daily basis.

  • Answer and manage incoming phone calls professionally and courteously.

  • Communicate issues factually and escalate only when necessary, ensuring timely resolutions.

  • Collaborate with internal teams to resolve discrepancies or concerns.

General Expectations
  • Strictly adhere to designated working hours and comply with all company policies.

  • Maintain consistent productivity and attention to detail, with or without supervision.

  • Take initiative in organizing shared files and supporting general administrative duties.
