The Tendering Manager is responsible for overseeing the process of preparing and submitting tenders and proposals for Catering and related Service Contracts. This role involves managing the end-to-end tendering process, ensuring that proposals are competitive, compliant, and meet client requirements. The Tendering Manager works to secure new business opportunities and maintain a high success rate in winning tenders.

Essential Duties and Responsibilities:

1. Tender Management:

  • Lead and manage the entire tendering process from initial bid invitation to final submission.
  • Review tender documentation and requirements, ensuring full understanding and compliance.
  • Coordinate with internal departments (e.g., operations, procurement, Business Development, QHSE, Finance, Legal/Contracts) to gather necessary information and prepare tender responses.
  • Follow up on post-submission inquiries and clarifications.

2. Proposal Preparation:

  • Develop and write compelling and detailed proposals that address client requirements and showcase the company's strengths.
  • Ensure that all proposal components, including technical, financial, and compliance sections, are completed accurately and on time.
  • Customize proposals based on specific client needs and project specifications.

3. Bid Strategy and Analysis:

  • Analyze tender specifications and client needs to develop effective bid strategies and win themes.
  • Conduct competitor analysis to understand market positioning and develop competitive pricing strategies.
  • Identify and mitigate risks associated with tender submissions.

4. Team Coordination and Leadership:

  • Manage and mentor a team of tendering professionals, ensuring high performance and professional development.
  • Facilitate internal meetings to review and discuss tender requirements, strategies, and progress.
  • Collaborate with cross-functional teams to ensure the quality and accuracy of tender submissions.

5. Client and Stakeholder Interaction:

  • Maintain effective communication with clients and stakeholders (Operations, Procurement, Business Development, QHSE, Finance) throughout the tender process.
  • Address any queries or requests for clarification from clients promptly and professionally.
  • Represent the company in pre-bid meetings and presentations as required.

6. Documentation and Compliance:

  • Ensure all tender documentation is completed, formatted, and submitted in accordance with client requirements and company standards.
  • Maintain accurate records of all tendering activities, including submissions, feedback, and outcomes.
  • Ensure compliance with relevant regulations, industry standards, and company policies.

Principal Accountabilities:

  • Successfully manage and deliver high-quality tender submissions that meet client requirements and company standards.
  • Achieve a high success rate in winning tenders and securing new business.
  • Ensure compliance with all tendering regulations and internal processes.
  • Lead and develop a high-performing tendering team.
  • Ensure smooth transition from tendering awards to mobilization by sharing documents and KPIs with Operations and Mobilization teams through regular visits.

Freedom for Actions or Decisions:

  • Authorized to make decisions related to tender strategy, proposal content, and bid management.
  • Recommendations for major changes or new strategies should be reviewed with senior management.

Person Qualifications:

  • Bachelor's degree in business administration, Marketing, Hospitality Management, or a related field.
  • Additional certifications or training in tendering, project management, or related areas are beneficial.

Knowledge:

  • In-depth understanding of tendering processes, proposal development, and bid management.
  • Knowledge of the catering and hospitality industry, including market trends and client needs.
  • Familiarity with relevant regulations, standards, and best practices in tendering.

Skills:

  • Strong written and verbal communication skills.
  • Excellent organizational and project management skills.
  • Strong analytical skills for developing competitive strategies and pricing.
  • Proficiency in bid management software and office tools (e.g., Microsoft Office).

Experience:

  • 5 to 7 years of proven experience in tender management, proposal writing, or bid management, preferably within the catering or hospitality industry.
  • Demonstrated success in winning tenders and managing complex bidding processes.
