Job Overview

To plan and coordinate product supply and inventory levels to ensure product availability and service continuity within cost, lead-time, and capacity constraints.

Key Responsibilities

Upstream Responsibilities (Before Stock Arrives)

  • Create and maintain supply plans based on demand forecasts, sales trends, and inventory targets.
  • Issue purchase orders (POs) directly in the planning system based on approved supply plans and required lead times.
  • Maintain accurate master data including item lead times, sourcing information, safety stocks, and minimum order quantities.
  • Coordinate with suppliers to confirm PO acceptance, production timelines, and shipping readiness.
  • Manage all required documentation for each PO (e.g. proforma invoice, packing list, CoA) and ensure timely sharing for clearance.
  • Follow up with the clearance/logistics team to prepare pre-approvals and avoid customs delays.
  • Track supplier shipment booking status and align estimated time of arrival with warehouse capacity.
  • Escalate documentation or shipment delays that may impact service level or cause demurrage.
  • Conduct root cause analysis for upstream issues (e.g., documentation errors, production delays) and propose corrective actions.
  • Participate in supply review and IBP meetings to provide visibility on future inbound coverage and risk areas.
  • Generate rolling 12-month supply and inventory space forecasts to align with finance and operations.

Downstream Responsibilities (After Stock Arrival)

  • Follow up on inbound shipments to confirm arrival, track delays, and resolve issues such as shortages, damage, or poor freshness.
  • Ensure timely receipt of goods at warehouses, and confirm GRN posting in the system.
  • Plan and monitor Stock Transfer Orders (STOs) to ensure product availability at all branch/DC levels.
  • Track inventory health by identifying near-expiry, overstocked, or slow-moving items, and initiate rebalancing actions.
  • Coordinate with warehouses and logistics to execute timely transfers and resolve receiving or shipping bottlenecks.
  • Monitor SAP and planning systems for stock movements, PO status, and inventory posting accuracy.
  • Resolve supply disruptions by identifying downstream bottlenecks or system mismatches.
  • Ensure readiness for product launches, campaigns, and trade deals by securing stock in the right place at the right time.
  • Support clearance follow-up by ensuring full documentation is archived and shared with relevant teams (finance, operations).
  • Work with customer service or sales teams to address and prevent out-of-stock issues across channels.

Common Responsibilities (Across Upstream & Downstream)

  • Maintain and regularly audit master data to ensure system accuracy for all planning parameters.
  • Track and report key supply chain KPIs: product availability, plan attainment, inventory turnover, fill rate, and service level.
  • Perform exception management to resolve supply chain issues from end to end—upstream or downstream.
  • Collaborate cross-functionally with procurement, sales, finance, warehousing, and logistics teams.
  • Participate in DRM, S&OP, and IBP meetings with actionable data insights and mitigation plans.
  • Continuously improve supply planning processes by identifying inefficiencies and implementing solutions.
  • Ensure new product introductions (NPIs) and promotional items are ordered, tracked, and deployed accurately.
  • Align planning activities with financial targets, operational constraints, and customer needs.
