Job Purpose / Objective
Responsible for all warehouse operations activities including shipping and receiving, deliveries, coordinating stock, documenting warehouse transactions, and maintaining records.
Key Responsibilities / Accountabilities
- Ensure all operational policies and procedures are in place, with adherence to all Store Members and documentation of control procedures enforced as part of the daily management system.
- Verify delivery of items from suppliers against approved Purchase Orders, specifications, discounts/bonuses/FOC, quantities, prices, and expiry dates.
- Distribute Material Requests to Assistant Storekeepers for issuing items to end-users.
- Regularly review stock levels and coordinate with Supervisors for appropriate actions.
- Designate areas for expired/damaged items, label them accordingly, and ensure proper handling.
- Ensure timely return of expired items to suppliers with proper approval.
- Maintain buffer stocks and monitor minimum and maximum stock levels.
- Ensure 100% barcoding before moving items to inventory storage.
- Issue items to end-users based on Material Requests, ensuring system tally and correct storage conditions.
- Manage inventory storage according to system locator standards.
- Monitor warehousing and distribution standards, including temperature controls, in compliance with JCIA/CBAHI/SFDA/MOH requirements.
- Implement FIFO and regularly track and report product expiry dates.
- Maintain cleanliness and hygiene standards across the store as part of daily practices.
- Coordinate with transportation services for timely deliveries and transfers.
- Update daily records in the system accurately.
- Ensure timely submission of documentation to Finance for payment processing.
- Monitor slow-moving and non-moving items, liaising with the Store Supervisor and Logistic Manager monthly.
- Perform daily cycle counts.
- Prepare reports on zero-stock items daily.
- Maintain cleanliness and hygiene of the store daily.
- Foster good relationships with all departments, colleagues, and end-users to ensure teamwork and support.
- Create a positive atmosphere during supplier deliveries, ensuring workplace safety, including subcontractors.
- Maintain physical stock levels in accordance with book values.
- Implement controls on damages, losses, and expiry items until they reach the end-user.
- Ensure timely receipt and unloading of items from suppliers and scheduled deliveries.
- Perform other relevant duties as assigned, consistent with skills and abilities.
Education/ Professional Qualification
- Diploma holder; preferably with a Bachelor’s Degree in Logistics Operations or relevant field.
Experience
- At least three (3) years of warehouse experience, preferably in a healthcare setting or FMCG company.
