We are seeking a skilled and knowledgeable Specialist in procurement to join our organization, Responsible for efficiently procuring necessary supplies, materials, services, and other relevant items while adhering to budgetary constraints. This role involves maintaining meticulous records of all procurement transactions, contributing to the development and implementation of sourcing strategies, and devising commodity-specific supply chain solutions. Additionally, the Procurement Specialist assists in the purchase of complex items by assisting in the development of specifications, conducting bid analysis, and negotiating with vendors to secure the most favorable pricing.
Key Responsibilities:
- Adhere to NAMA policies and Safety, Health, and Environment Management System procedures and contribute to achieving target rates as well as comply with quality procedures and NAMA IMS certified standards.
- Execute procurement activities, including identifying suppliers, obtaining quotations, evaluating bids, and selecting vendors based on quality, cost, and delivery considerations.
- Collaborate with internal stakeholders to understand their procurement requirements and develop effective sourcing strategies to meet their needs.
- Ensure compliance with procurement policies, procedures, and regulations throughout the procurement process.
- Conduct market research and analysis to identify potential suppliers, assess market trends, and evaluate product/service offerings.
- Negotiate favorable terms, conditions, and pricing with vendors to secure cost-effective agreements while maintaining quality standards.
- Establish and maintain strong relationships with suppliers, regularly assessing their performance and addressing any issues or concerns.
- Monitor supplier contracts, agreements, and service level agreements to ensure compliance and resolve any contract-related issues.
- Work closely with budget owners and finance teams to develop and manage procurement budgets.
- Identify cost-saving opportunities, alternative suppliers, and more efficient procurement processes to optimize expenses without compromising quality or delivery timelines.
- Track and analyze procurement data and metrics to identify trends, measure performance, and identify areas for improvement.
- Collaborate with cross-functional teams to develop detailed specifications for complex items, ensuring clear requirements for procurement.
- Conduct thorough bid analysis, comparing competing bids based on quality, price, delivery, and other relevant factors, to make informed purchasing decisions.
- Coordinate with stakeholders to address any questions or clarifications during the bid evaluation process.
- Maintain accurate and complete records of all procurement transactions, including purchase orders, contracts, invoices, and relevant documentation.
- Ensure proper documentation of supplier information, performance evaluations, and contract renewals.
- General reports and provide regular updates on procurement activities, performance metrics, and cost savings achieved.
Education:
- Bachelor s degree in Business Administration, Supply chain Management, Procurement, or a related field. Relevant certifications are a plus.
Experience:
4 to 10 years of experience in procurement, strategic sourcing, or supply chain management, preferably in a similar industry or organization.
Job Skills / Knowledge:
- Strong understanding of procurement principles, sourcing strategies, and supply chain management concepts.
- Excellent negotiation skills to secure favorable terms, pricing, and contracts with suppliers.
- Analytical and problem-solving abilities to evaluate bids, assess supplier capabilities, and make data-driven
decisions. - Knowledge of contract management principles, including contract drafting, review, and administration.
- Familiarity with budget management and cost optimization techniques to achieve cost savings without
compromising quality. - Proficient in using procurement software, databases, and other relevant tools to manage procurement
processes and data. - Strong communication and interpersonal skills to effectively collaborate with stakeholders and build
relationships with suppliers. - Attention to detail and accuracy in managing procurement documentation, records, and reporting.
