Essential Duties and Responsibilities A proactive and capable Senior Factory Coordinator who can independently manage and support the operations of our joinery factory, client communication, internal coordination, certifications, and administrative oversight. The candidate will play a pivotal role in bridging client needs with factory execution, ensuring smooth internal processes, and contributing to building the factory’s long-term structure and reputation. This is a multi-functional leadership role requiring strong communication, process management, operational oversight, and initiative—with minimal supervision. Key Responsibilities: Client & Project Coordination • Act as the main point of contact for clients—understand project needs, timelines, and expectations. • Translate client requirements into clear internal action plans and coordinate with the production manager and factory team. • Ensure client satisfaction through consistent follow-up, timely updates, and quality deliverables. Factory Operations & Support • Support and facilitate the production manager in resource planning, manpower mobilization, and progress tracking. • Monitor daily operations and ensure works are progressing according to schedule and scope. • Identify delays, risks, or bottlenecks early and alert management with recommended actions. • Take the lead in setting structure and work culture, contributing to future growth and branding of the factory. ERP, Procurement & Finance Coordination • Handle payment workflows: raise requests, track approvals, follow-up with finance, and report status. • Maintain and manage the Procurement Log, ensuring materials and resources are aligned with the design scope, budget, and timelines. • Use ERP software to manage job costing, material tracking, workflow approvals, and reporting. • Work closely with finance and procurement teams to prepare regular operations and cost reports. Certifications & Compliance • Take initiative to lead the qualification of the factory for ISO certification and other required accreditations (e.g., fire-rated doors and industry-specific approvals). • Coordinate with certifying bodies, consultants, and internal stakeholders to ensure documentation and processes meet required standards. • Monitor and update compliance-related records, including legal, commercial, and technical documentation submitted to clients. • Ensure all processes are in compliance with HSE regulations and local authority requirements at both factory and site levels. Administration & HR Coordination • Handle basic HR and administrative responsibilities in the early phase—attendance, staffing needs, and documentation. • Coordinate with internal departments to improve workflow efficiency and documentation standards. • Promote discipline, professional conduct, and cleanliness on the shop floor to build a reputable brand identity. • Lead efforts to develop the factory’s image and long-term positioning in the industry.
• Bachelor’s degree in Engineering, Architecture, Business Administration, or related field. • 7–10 years of relevant experience in operations, production, or client-facing coordination within joinery, interiors, or construction. • Strong understanding of joinery production processes, ERP systems, procurement, and reporting. • Experience with certification processes such as ISO and joinery related certifications. • Excellent interpersonal and site-level communication skills. • Strong multitasking, team leadership, and problem-solving ability. • Ability to work hands-on and appealing personality.
