Job description

The client is looking to hire a Sales Coordinator for their team at Khobar, Saudi Arabia.

Experience : Minimum 2 years in documents or records management

Objective :

To support the Business Development and Sales team by coordinating the preparation and

organization of sales-related documents, assisting in vendor and client communication, and ensuring proper documentation control across all sales transactions and logistics activities. This role also ensures compliance with internal procedures for document security, classification, and reporting.

Responsibilities :

Quotation Management :

- Adhere to the RFQ (Receipt of Request for Quotation) process by registering and managing incoming requests from clients and ensuring timely internal circulation.

- Follow the PQ (Preparation of Quotes) procedures to compile technical and commercial data in coordination with internal departments.

- Arrange competitive quotations from suppliers based on the specifications, scope, and quantity required for each project.

Supplier & Logistics Coordination:

- Coordinate with suppliers for delivery and invoicing, ensuring accurate documentation and adherence to agreed schedules.

- Communicate proactively with logistics to plan and track material availability, ensuring timely delivery to project sites.

- Obtain and verify supplier certifications such as MTC, PVC Coating Certificate, and Conformance/Quality Certificates for compliance with project standards.

Sales Documentation :

- Prepare and process commercial documents such as Purchase Orders (POs), Invoices, and Delivery Notes in accordance with company

procedures.

- Review and validate all incoming documents for accuracy and completeness prior to processing or filing.

- Maintain both physical and electronic filing systems, ensuring secure storage, structured indexing, and quick retrieval of documents.

Document Control & Compliance :

- Supervise documents through their full lifecycle—from creation and approval to archival—ensuring traceability and compliance with internal

standards.

- Retrieve documentation upon request from internal departments, auditors, or external parties.

- Comply with company policies to maintain confidentiality and integrity of sensitive sales and procurement data.

Reporting & Analysis :

- Prepare internal reports on quotation statuses, supplier performance, and documentation compliance to support management decision making.

- Organize supplier price comparisons and maintain pricing history to support procurement strategy.

Support & Coordination :

- Provide administrative and coordination support to the Sales and Procurement teams as needed.

- Liaise with internal stakeholders to ensure smooth execution of sales and procurement operations.

- Take on additional duties or project-specific tasks as assigned by the department or line manager.

- Keep updated on industry developments and document control best practices to improve internal processes.
