Sales and Training Administrative Assistant - Training Center
• Perform administrative support services for the Sales and Training Processes.
PRINCIPAL RESPONSIBILITIES:
Provide on-going customer service for the sales database.
Process registration on a daily basis and process any requests that are received from clients directly or via email.
Prepare daily invoices, monitor accounts receivable. Maintain open invoice and paid invoice binders.
Verify accuracy in commission calculations as well as tracking sales contests for SE.
Make confirmation calls on classes and appointments.
Submit all on-site requests in the approved manner and monitor all aspects including submission of signed rosters for invoicing.
Call clients regarding location changes and cancellations.
Maintain independent files for all clients/students with monthly transcripts showing class completion progress.
Accomplish daily support tasks: check out materials from the instructor preparation resources, file student attendance sign-in sheets, and distribute disks and clerical supplies to instructors as needed.
Maintain instructor’s database with qualification records.
Calculate Instructors’ average scores on each class delivered and prepare regular reports on top performing Instructors, as well as Instructors that are not scoring well.
Regulate the department's inventory of administrative supplies, coordinate requests among the department staff, and prepare monthly orders for the Center Manager's approval.
Collect, review for accuracy, and process individual expense reports in accordance with IPTC policies and procedures.
Prepare department meeting notes and general correspondence as requested.
Perform other duties and tasks as designated by the Training Center Manager.
QUALIFICATIONS AND EDUCATION REQUIREMENTS:
High school diploma. One or more years of office clerical experience. Minimum typing speed 40 words per minute.
Computer literate and able to demonstrate proficiency in software applications required in the performance of job responsibilities.
