Overview
Role Overview: We are seeking a highly motivated Sales & Admin Assistant to support the Sales Director in all aspects of sales, administration, and business operations. The ideal candidate will be proactive, organized, and professional, with excellent bilingual communication skills (Arabic & English), strong administrative capabilities, and the ability to work in a fast-paced environment.
This is a hands-on role that involves supporting the Sales Director in client-facing activities, sales operations, internal team coordination, and documentation management.
Responsibilities
- Prepare professional presentations, proposals, reports, and pitch decks in both English and Arabic.
- Assist in drafting and issuing client proposals, quotations, and contracts.
- Attend client meetings with the Sales Director, take detailed notes, and summarize key actions and follow-ups.
- Maintain client contact database and track ongoing communications.
- Support in sales pipeline tracking, reporting, and follow-ups.
- Manage the Sales Director’s calendar, appointments, and meetings, ensuring all priorities are addressed.
- Assist in coordination and hiring of new sales team members, including scheduling interviews and preparing recruitment materials.
- Organize and maintain documentation, reports, and internal records.
- Draft official correspondence, meeting minutes, and internal memos.
- Translate documents, emails, and presentations between Arabic and English as needed.
- Ensure smooth communication between the Sales Director and internal/external stakeholders.
- Monitor and track action items from meetings and ensure timely completion.
- Assist in preparing business reports, performance dashboards, and summaries for management.
- Provide research and data support for new business opportunities, projects, or client requests.
- Coordinate with internal teams to collect data, update status, and prepare project documentation.
Qualifications & Skills
- Bachelor’s degree in Business Administration, Management, Marketing, or related field.
- Minimum 2–3 years of experience in a sales support, executive assistant, or administrative role, preferably in B2B, IT, or asset management services.
- Fluent in English and Arabic (speaking, reading, writing).
- Strong proficiency in Microsoft Office (PowerPoint, Excel, Word, Outlook).
- Exceptional communication, organizational, and multitasking skills.
- Ability to work independently, prioritize tasks, and meet tight deadlines.
- Professional appearance, demeanor, and business etiquette.
- Previous experience in client-facing environments is a plus.
