Job Description
- Have a thorough knowledge of the entire hotel services and facilities.
- Answer inquiries regarding room rates, outlets, and room locations.
- Be familiar with all aspects of the reservation systems.
- Handle reservation requests using good listening and communication skills to gather necessary information.
- Post advance deposits and maintain accurate records of deposits.
- Process rooming lists and group blocks, noting special requests and billing procedures.
- File and process reservation correspondence, ensuring all files are current and organized.
- Understand the functions of Front Desk, Sales, and Accounts departments and their relation to Reservations.
- Adhere to hotel policies and procedures.
- Stay informed about rate changes and group inquiries.
- Complete daily shift tasks and assist colleagues as needed.
- Manage inventory and monitor available room types throughout the day.
- Understand departmental goals and projections for average rate and occupancy.
- Accurately accommodate and document special requests.
- Select the most suitable room type to meet guest needs and maximize revenue.
- Explain guarantee and cancellation policies to guests.
- Describe room features and amenities, and promote hotel services to guests.
- Utilize sales techniques to assist guests with reservations, personalize calls, and suggest alternatives or refer to sister properties when necessary.
- Respond to guest inquiries about hotel facilities, services, rates, and promotions.
- Provide confirmation/cancellation numbers and relay this information clearly, offering email or fax options.
- Identify guest reservation needs through open-ended questions.
- Apply upselling techniques to enhance property revenue.
- Recognize repeat guests using appropriate codes.
- Perform other duties as reasonably requested by management, including assistance with large events or hotel functions.
- Participate in Task Force Teams for new openings.
Qualifications
Minimum one year of experience in the same position at a 5-star hotel and a high school diploma.
