Job description

We are inviting applications from young Saudi professionals, preferably with experience in similar industries. Our strong focus on customers relies on a robust Administration team that supports the entire organization in our pursuit to be the preferred equipment provider.

Principal Responsibilities

The main duties for this role include:

  1. Welcoming visitors in person and via telephone, greeting, answering, screening, and directing them to the relevant department or official.
  2. Directing visitors by referring to employee and department directories.
  3. Logging outgoing overseas personal and official calls.
  4. Taking and relaying messages to employees via extensions or MS Teams.
  5. Handling or forwarding queries from visitors and callers.
  6. Monitoring access and movements of people in and out of the reception area.
  7. Maintaining security awareness regarding visitor access.
  8. Logging outgoing company mails and parcels.
  9. Preparing courier documentation, segregating documents for branches, and coordinating with Supply Chain for dispatch.
  10. Sorting incoming mails, couriers, and parcels, and distributing them accordingly.
  11. Managing conference room bookings.
  12. Maintaining the reception area's cleanliness and organization.
  13. Providing general administrative and clerical support.
  14. Verifying business and personal calls, and preparing monthly statements for employee deductions.
  15. Receiving, sorting, and forwarding faxes to appropriate departments or individuals.
  16. Performing any other related tasks as assigned by the Supervisor.

Ideal Candidate Profile

  • Holds a Diploma in Business Studies or Office Administration.
  • Has relevant experience of up to 2 years.
  • Proficient in written and verbal communication in both Formal English and Formal Arabic.
  • Skilled in MS Office Suite, especially Word and Outlook.
  • Extroverted and enjoys meeting new people.
  • Saudi national.
