About the Role

We are seeking a Purchasing Specialist with hands-on experience in service-based industries, preferably in professional education or the EdTech sector. This role will support the full purchasing cycle—from vendor coordination and PO management to invoice tracking. The role will involve up to 25% of the working week on data analysis and reporting. Proficiency in Power BI or similar tools would be considered an advantage. Expert-level proficiency in Excel and PowerPoint, as well as experience with ERP systems and process improvement activities, would be considered strong advantages.

Key Responsibilities

• Manage end-to-end purchasing processes, including creating, reviewing, and monitoring Purchase Orders (POs) for all departments.

• Maintain and update vendor records to ensure compliance with invoicing standards and provide timely documentation.

• Coordinate within Accounts Payable to provide missing invoices, track and ensure timely vendor payments, resolve invoice discrepancies, and follow up on outstanding submissions.

• Support internal departments with their purchasing needs, including guidance on workflow and policy adherence.

• Develop vendor relationships, including site visits, to coordinate on efficient processing of transactions

• Monitor and make recommendations about optimising service and inventory purchases across multiple entities and locations, including cost reduction opportunities.

• Develop purchasing and cost analysis models and reporting dashboards, and perform purchasing trend analysis to support decision-making.

• Contribute to the creation and enhancement of purchasing workflows in ERP systems (Zoho or similar), where applicable.

Qualifications

• Bachelor’s degree in Business, Finance, Supply Chain, or a related field.

• Minimum of 2 years of purchasing experience in a service-based environment, preferably in professional learning or EdTech.

• Strong operational knowledge of purchasing processes, vendor coordination, and documentation handling.

• Expert-level capability in Excel and PowerPoint

• Demonstrated ability to perform purchasing-related analysis using Power BI or similar data visualisation/reporting tools.

• Familiarity with ERP systems and experience contributing to workflow or process improvements is a plus.

• Excellent communication, coordination, and multitasking skills.

• Proficient in English
