Responsible for managing the CEO's visitors and ensuring execution of protocol and logistics for VIP guests and coordinating & communicating with the external stakeholders.
Manage CEO incoming visitors according to the RUA's hospitality standards, ensuring a seamless and professional experience for all guests.
Job Responsibilities:
Manage the CEO's incoming visitors by coordinating arrival and departure logistics, including transportation, accommodation, and any other necessary arrangements to ensure a smooth and welcoming experience.
Assist in the planning and execution of high-profile events, conferences, and meetings hosted by the CEO or the RUA, ensuring that all logistical and protocol-related aspects are seamlessly handled.
Liaise with the CEO's office to understand the specific protocol and hospitality requirements for each visitor and ensure that these are executed flawlessly.
Maintain a comprehensive database of the CEO's visitors, including their preferences, contact information, and any special requirements, to anticipate and address their needs proactively.
Implement RUA SOPs in welcoming Guests and performing the needed protocols across their visit.
Provide regular updates and reports to the Manager, Special Projects, on the status of the CEO's visitors, any issues or challenges encountered, and proposed solutions.
Collaborate with the facilities, IT, and catering teams to arrange appropriate meeting spaces, equipment, and refreshments for the CEO's guests according to the RUA protocols for guests.
Implement standard operating procedures for the management of protocol and logistics, ensuring consistency and efficiency in the delivery of services.
Perform any other duties as assigned by his direct manager to top management to support the overall objectives of the organization.
Job Requirements:
Bachelor's degree in business administration, Information Management, or a related field.
