Role Overview:
The Project Planner plays a central role in managing the timeline, governance, and execution discipline of luxury interior design projects. Working from concept through to installation, the Project Planner ensures that all design, procurement, FF&E, and site operations align to deliver projects on time, within budget, and to the highest standards expected by discerning clients.
Key Responsibilities:
1. Project Planning & Execution
- Lead the development of integrated project timelines for interior design projects — from concept design, technical documentation, procurement, manufacturing, to installation.
- Create and maintain master schedules identifying key milestones, lead times (e.g. material selection, production, delivery), and dependencies between departments (Design, FF&E, Site Coordination).
- Ensure project schedules are realistic, tracked, and regularly updated, with stakeholder buy-in and visibility.
2. Process Governance & Cross-Departmental Alignment
- Enforce adherence to internal workflows and approval processes across departments — including Design, Procurement, Finance, and Site Management.
- Audit project trackers, documentation, and delivery checklists to ensure consistency and accuracy.
- Ensure all teams understand and meet agreed milestones, scope commitments, and deliverables.
3. Risk Management & Problem Solving
- Identify project risks early (e.g. delayed material samples, client decision bottlenecks, contractor readiness) and proactively mitigate them.
- Ensure transparent and timely communication of delays or roadblocks to executive leadership and relevant departments.
- Maintain up-to-date project dashboards and risk registers for internal review (e.g. CEO weekly reviews).
4. Special Programs Oversight
- Manage complex or non-standard project initiatives (e.g. international installations, ultra-custom FF&E packages) with tailored timelines and reporting needs.
- Coordinate with niche suppliers or external consultants for special programs requiring elevated oversight.
5. Client & Stakeholder Reporting
- Prepare high-quality client-facing reports summarizing progress, upcoming milestones, and key decisions.
- Ensure alignment between client expectations, commercial agreements, and internal planning.
- Act as a point of coordination between external consultants (lighting, AV, landscape) and internal teams to ensure coherent delivery.
6. Leadership & Delivery Culture
- Promote a culture of precision, accountability, and proactive project management — benchmarked against leading global firms.
- Provide mentoring and structure to junior or design-led teams less familiar with structured delivery models.
- Advocate for continual improvement in project planning tools and standards.
Requirements:
- Minimum 7+ years of experience in project planning and management within luxury interior design, high-end residential, or boutique hospitality sectors.
- Strong understanding of interior design workflows, bespoke FF&E production, and installation sequencing.
- Demonstrated ability to enforce structured timelines and ensure cross-departmental accountability.
- Experience working in fast-paced, design-driven environments.
Skills
- Advanced proficiency in project scheduling tools such as Primavera, MS Project, Asana, Monday.com, or similar platforms.
- High attention to detail and strong risk awareness.
- Excellent communication and client-handling skills, especially with VIPs and international stakeholders.
- Ability to lead, align, and support teams across design, procurement, and site operations.
- Strong problem-solving mindset with a proactive approach to delays and bottlenecks.
