As the Associate - Purchasing, you will assist in the purchase of materials and supplies and ensure that the Supply Chain needs of Kitopi are met in a timely and cost-effective manner, participate in Contract Negotiations and manage inventory. You will be responsible for reviewing costs, develop relationships with vendors and suppliers, offer suggestions for where and how much material and supplies to buy.

What You'll Do

  • Assist in raising purchase orders and ensuring accuracy in order details including pricing, quantities, and delivery timelines.
  • Communicate with vendors to confirm orders, track shipments, and resolve delivery or invoicing issues.
  • Coordinate with Finance and Receiving teams to ensure timely processing of invoices and delivery confirmations.
  • Maintain accurate procurement records including PO logs, vendor files, and contract documentation.
  • Support the Procurement Manager in supplier evaluations, negotiations, and vendor onboarding.
  • Monitor stock availability and reorder levels in coordination with inventory and warehouse teams.
  • Analyze purchase data and assist in generating regular reports on spend, delivery performance, and cost savings.
  • Ensure compliance with procurement policies and procedures at all times.
  • Identify and escalate any risks or delays in the supply chain.
  • Support in tender processes, price comparisons, and market research for new items or suppliers.

What We Are Looking For

  • Bachelor’s degree in Supply Chain, Business Administration, or a related field.
  • 1–3 years of experience in procurement or purchasing, preferably in F&B, retail, or hospitality sectors.
  • Familiarity with ERP systems (e.g., SAP, Oracle, or similar) is a plus.
  • Strong attention to detail and accuracy in data entry and documentation.
  • Good communication and coordination skills.
  • Proficiency in Microsoft Excel and Google Workspace.
  • Ability to work under pressure and manage multiple tasks simultaneously.

Recruitment Process and Timeline

First, you apply, and our talent attraction team will review your profile. If your profile matches our requirements, you will receive a link to schedule a meeting with a recruiter at your convenience. This meeting is an opportunity for you to share more about yourself and for us to get to know you better.

If you are shortlisted, you will meet with our hiring managers. Depending on the role and its requirements, you may need to attend 2-3 interview rounds. These rounds could include a case study, role-play, trial assignment, or live coding session, which will be communicated to you in the initial conversation.
