Job Summary:

To work under the direction of the department Manager and be responsible for completing all tasks assigned by the Manager. The role may involve responsibilities in various operation-related departments.

RESPONSIBILITIES / ACCOUNTABILITIES & AUTHORITY :

  1. Support operation-related departments such as production, procurement, logistics, planning, and warehouse with various administrative tasks.
  2. Handle submission and retrieval of records as per project requirements.
  3. Follow up with department heads to ensure necessary documents are prepared on time.
  4. Coordinate with department heads to ensure smooth internal communication and prioritization.
  5. Coordinate with the client team to manage project-specific document transmittals.
  6. Collect and analyze feedback from customers and project users to assess satisfaction and success.
  7. Perform basic bookkeeping activities and update the accounting system.
  8. Assist in vendor relationship management.
  9. Coordinate logistics activities with suppliers, transporters, and clearing agents.
  10. Assist in planning and scheduling production according to project requirements.
  11. Manage multiple priorities effectively in a fast-paced environment.
  12. Be flexible and available to work overtime as needed to support the team and business needs.
  13. Adhere to all safety, health, and environmental regulations.
  14. Participate in internal audits in accordance with API Q1 & ISO 9001 standards.
  15. Perform other duties as assigned or required.

BEHAVIORAL SKILLS / COMPETENCIES / EDUCATION & EXPERIENCE :

  • College education with a diploma or graduation; technical qualifications preferred.
  • Proficiency in reading, writing, and speaking English, with related arithmetic skills.
  • Experience working with ERP systems.
  • Extensive computer skills, including proficiency in Microsoft Word, Excel, and other software.

Minimum 2 years of experience with ERP systems and document control in a manufacturing environment.
