Job Summary:
To work under the direction of the department Manager and be responsible for completing all tasks assigned by the Manager. The role may involve responsibilities in various operation-related departments.
RESPONSIBILITIES / ACCOUNTABILITIES & AUTHORITY :
- Support operation-related departments such as production, procurement, logistics, planning, and warehouse with various administrative tasks.
- Handle submission and retrieval of records as per project requirements.
- Follow up with department heads to ensure necessary documents are prepared on time.
- Coordinate with department heads to ensure smooth internal communication and prioritization.
- Coordinate with the client team to manage project-specific document transmittals.
- Collect and analyze feedback from customers and project users to assess satisfaction and success.
- Perform basic bookkeeping activities and update the accounting system.
- Assist in vendor relationship management.
- Coordinate logistics activities with suppliers, transporters, and clearing agents.
- Assist in planning and scheduling production according to project requirements.
- Manage multiple priorities effectively in a fast-paced environment.
- Be flexible and available to work overtime as needed to support the team and business needs.
- Adhere to all safety, health, and environmental regulations.
- Participate in internal audits in accordance with API Q1 & ISO 9001 standards.
- Perform other duties as assigned or required.
BEHAVIORAL SKILLS / COMPETENCIES / EDUCATION & EXPERIENCE :
- College education with a diploma or graduation; technical qualifications preferred.
- Proficiency in reading, writing, and speaking English, with related arithmetic skills.
- Experience working with ERP systems.
- Extensive computer skills, including proficiency in Microsoft Word, Excel, and other software.
Minimum 2 years of experience with ERP systems and document control in a manufacturing environment.
