An established healthcare provider is seeking a dedicated Coordinator to support the Physiotherapy department. This role involves a variety of administrative tasks, including managing correspondence, coordinating appointments, and maintaining filing systems. Serves as Coordinator for department activities in the assigned area and reports to the Head of Physiotherapy.
Assists the department head by performing secretarial duties and selected administrative tasks. This position may serve as the departmental receptionist/coordinator when required.
.Prepares routine correspondence and routes completed correspondence for signatures. Reviews outgoing correspondence for proper format, enclosures, grammar, etc.
.Receives, sorts, and distributes incoming mail.
.Receives telephone calls and visitors, answers routine questions, takes messages, and refers other matters as appropriate. Communicates and coordinates appointments.
.Receives and consolidates information/reports from subordinate organizational areas and assists in preparing routine planning and program reports.
.Secures and presents information as requested from files or other sources.
.Creates and maintains information and filing systems, records, and indexes, including follow-up and confidential matters.
.Makes tentative appointments for department staff and others as required.
.Ensures the provision of the optimal level and quality of office equipment (computers, printers, photocopiers, fax machines, etc.) and appropriate levels of consumable office supplies.
.Develops and coordinates the Quality Improvement Program within his/her area of responsibilities.
.Fully aware of and actively implements departmental policies, procedures, and national and international standards or requirements related to the department.
.Actively involved in indicator development, data collection for the department, and measuring the performance of functions, processes, and outcomes. Conducts analysis and interpretation of collected data/information as required.
.Participates in hospital Safety Management & Risk Management Programs. Actively reports incidents and participates in incident review and root cause analysis when needed.
.Performs other applicable tasks and duties within his/her knowledge and skills as directed by the Head of Physiotherapy.

Requires two years of experience in a similar job, with a Bachelor's Degree or Diploma.
