Job description

We are hiring for Personal Assistant to CEO

Location KSA-Riyaadh

The Personal Assistant to the CEO provides comprehensive executive support in a one-on-one working relationship. The role involves managing administrative functions, ensuring smooth coordination between the CEO and other departments, and acting as the CEO representative in many interactions.

The Personal Assistant must maintain discretion and professionalism in all tasks, contributing to efficient leadership operations.

Key Responsibilities:

Manage and maintain the executives professional calendar, appointments, and meetings.

Screen calls, emails, and requests, serving as a gatekeeper to prioritize and redirect inquiries as necessary.

Arrange complex travel plans, including flights, accommodations, transportation, and detailed itineraries.

Prepare and organize documents for meetings, presentations, and travel.

Draft, proofread, and format correspondence, reports, and other documents.

Maintain an organized filing system for both electronic and paper records.

Assist with follow-ups and monitoring the progress of tasks and initiatives.

Manage personal schedules, appointments, and errands for the executive and family if required.

Handle personal correspondence and household-related tasks or vendor coordination.

Organize personal travel arrangements and reservations.

Purchase gifts, handle event planning, and support other personal matters as requested.

Act as a liaison between the executive and internal/external stakeholders.

Coordinate with internal departments to ensure smooth workflow and information sharing.

Handle confidential information with discretion and integrity.

Support communication between the executive and board members or senior leadership, when applicable.

Proven experience as a Personal Assistant, Executive Assistant, or Secretary in a professional setting.

Excellent verbal and written communication skills.

Strong organizational and multitasking abilities with keen attention to detail.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and calendar management tools.

Ability to handle confidential matters with professionalism and discretion.

Flexible, proactive, and able to work independently or with minimal supervision.

Qualifications:

  • Age: 25-33 years
  • Languages: Proficiency in English (Arabic is an added advantage)
  • Education: Bachelors degree (mandatory) or Masters degree
  • Professional Experience: 2 to 5 years
  • Gender Preference: Male / Female

Skills & Competencies:

  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and social media platforms.
  • Strong interpersonal and organizational skills with attention to detail.
  • Ability to build relationships with internal and external stakeholders, including staff, board members, and partners.
  • Exceptional verbal and written communication skills.
  • Problem-solving mindset with a proactive approach to decision-making.
  • A resourceful team player who can also work effectively independently.
  • Decent and presentable personality.
  • Should possess four-wheeler driving skills.
