Job Summary:

This position is within the Flow Controls Business Unit, part of the Final Control Group.

The administrator role is based in Dhahran Techno Valley, Saudi Arabia, serving customers in Saudi Arabia and Bahrain.

Responsibilities:

  • Manage order entry for Saudi and Bahrain in Flow Controls, including main equipment and parts, from sales, partners, and customers.
  • Review contracts and orders, focusing on KOB3 business.
  • Collaborate with Customer Service, Sales, and Plant teams to resolve order-related issues.
  • Input and manage orders in Fisher First 2, Oracle, and other systems.
  • Coordinate with Logistics and Warehouse teams to ensure timely delivery according to INCOTERMS.
  • Verify payment terms and prepare bank documents such as Letters of Credit, Cash Against Documents, and Bank Guarantees for KOB3.
  • Set up customer addresses in Oracle.
  • Follow up on delivery schedules with warehouse and factory teams.
  • Coordinate shipment processes and documentation with shipping coordinators.
  • Forecast monthly sales for Buyout orders and monitor progress with relevant teams.
  • Perform additional duties as assigned by the Line Manager.

Invoice Management:

  • Generate and submit invoices for Saudi and Bahrain customers.
  • Review contracts and orders to ensure invoice accuracy.
  • Manage invoices in customer financial systems.
  • Coordinate shipments and related documentation.
  • Ensure timely submission of all invoice-related documents.

Date Management:

  • Align customer request dates with enterprise lead times.

Change Orders:

  • Handle various change orders promptly.

Documentation:

  • Ensure timely submission of bank and order documents.
  • Translate documents to Arabic as needed.
  • Maintain records of invoice submissions and supporting documents.

Dispute Resolution:

  • Address payment collection issues collaboratively with Finance, Sales, and partners.

Quality Improvement:

  • Recommend ways to eliminate non-value-added activities.

Candidate Profile:

  • Highly committed and organized.
  • Proficient in Excel.
  • 3-5 years of relevant experience.

Preferred Qualifications:

  • Background in Business Management and Financial Analysis.
  • Experience in Finance and Order Administration.
  • Fluent in spoken and written Arabic.
