About the Role

We are a reputable law firm seeking a dedicated Office Manager to support our day-to-day operations. The ideal candidate will have experience within a legal environment, be fluent in both Arabic and English, and demonstrate exceptional organizational and communication skills. This position requires someone who can efficiently manage administrative tasks, coordinate office activities, and maintain a professional environment for our clients and team members.

Responsibilities

Office Administration

  • Oversee daily administrative operations, including scheduling and coordinating appointments, meetings, and travel arrangements
  • Manage office supplies, equipment, and vendor relationships to ensure smooth day-to-day functioning
  • Create and maintain systematic filing systems (physical and electronic) for legal documents and client records

Client and Visitor Management

  • Greet and assist clients and office visitors, ensuring a welcoming and professional environment
  • Coordinate incoming and outgoing mail, couriers, and deliveries
  • Handle general inquiries and direct them to the appropriate department or staff member

Team Coordination

  • Support attorneys and paralegals with administrative tasks such as document preparation, case file organization, and correspondence
  • Schedule interviews, onboarding sessions, and other staff-related events
  • Organize and coordinate office events, meetings, and training sessions

Communication and Reporting

  • Translate and interpret (Arabic/English) for internal and external communications when required
  • Prepare and circulate internal memos, reports, and legal notices
  • Ensure timely and clear communication of office policies and procedures to all team members

Compliance and Confidentiality

  • Maintain confidentiality and handle sensitive information in accordance with legal ethics and firm policies
  • Ensure compliance with relevant laws, regulations, and firm standards

Qualifications

  • Language Skills: Fluent in both Arabic and English (written and spoken)
  • Experience: Minimum of two years’ experience in an office management or administrative role, preferably within a law firm
  • Education: Bachelor’s degree in Business Administration, Management, or a related field (or equivalent experience)
  • Technical Proficiency: Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and common office management software
  • Organizational Skills: Strong ability to multitask, prioritize work, and meet deadlines
  • Interpersonal Skills: Exceptional communication and interpersonal skills, with a friendly and professional demeanor
  • Attention to Detail: Accuracy in data entry, record-keeping, and document management
  • Problem-Solving: Ability to anticipate challenges and proactively implement effective solutions
