Job Description
Batterjee Medical College is seeking a highly organized and proactive professional to manage the daily operations of the Dean’s Office. This role requires exceptional organizational, communication, and interpersonal skills to ensure smooth workflow, effective coordination, and professional representation of the Dean’s Office.
Key Responsibilities
- Oversee and manage the daily operations of the Dean’s Office to ensure efficiency and professionalism.
- Handle all incoming and outgoing communication on behalf of the Dean, including emails, phone calls, and official correspondence.
- Coordinate and manage official communications with external entities and corporate partners.
- Represent the Dean’s Office when interacting with students, families, and visitors, addressing concerns and providing solutions with professionalism.
- Prepare and distribute Minutes of Meeting (MoM) for all meetings held at the Dean’s request to ensure proper follow-up.
- Act as the main point of contact between the Dean’s Office and internal departments as well as external stakeholders.
- Maintain strict confidentiality when handling sensitive and confidential matters.
- Track and follow up on the implementation of key decisions, projects, and initiatives.
- Ensure professional representation of the Dean’s Office in all official communications and public interactions.
- Organize and maintain records, files, and documents to meet institutional requirements and allow easy access.
- Assist the Dean in preparing reports, presentations, and official documents.
- Manage special projects and assignments as directed by the Dean.
- Arrange travel logistics for the Dean, including itineraries, bookings, and related documentation.
Requirements
- Education: Bachelor’s degree in Business Administration, Management, or a related field.
- Experience: Minimum of 2 years in office management or administrative roles.
- Language: Fluency in English (spoken and written).
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Core Skills: Excellent organizational, time management, communication, and interpersonal skills.
