Job Title: Office Manager

Reporting to: CEO

Location: Dhahran Techno Valley, Saudi Arabia

Overview of the Position

We are seeking an experienced Office Manager to organize and coordinate administrative duties and office procedures. The ideal candidate will foster a pleasant work environment, ensuring organizational effectiveness, clear communication, and safety.

Duties and Responsibilities

  1. Serve as the primary point of contact for office management duties including:
  • Maintenance
  • Mailing
  • Supplies
  • Equipment
  • Bills
  • Errands
  • Shopping
  • Schedule meetings and appointments
  • Organize office layout and order stationery and equipment
  • Maintain office condition and coordinate repairs
  • Collaborate with HR to update and enforce office policies
  • Oversee office operations and procedures
  • Coordinate with IT on office equipment
  • Ensure timely invoicing and payments
  • Negotiate contracts and prices with vendors and service providers
  • Manage the office G&A budget and prepare reports
  • Provide support to visitors
  • Assist with onboarding new hires
  • Address employee queries related to office management (e.g., stationery, hardware, travel)
  • Liaise with facility management vendors (cleaning, catering, security)
  • Plan in-house and off-site activities (parties, celebrations, conferences)
  • Qualifications

    • Bachelor’s degree in Economics, Business, Finance, Law, Engineering, or related fields
    • Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant
    • Knowledge of office administration responsibilities, systems, and procedures
    • Proficiency in MS Office (Excel, Outlook)
    • Experience with office machines (fax, printers)
    • Familiarity with email scheduling tools (e.g., Email Scheduler, Boomerang)
    • Excellent time management and multi-tasking skills
    • Attention to detail and problem-solving abilities
    • Strong written and verbal communication skills
    • Excellent organizational and planning skills in a fast-paced environment
    • Creative mindset with a focus on continuous improvement
