Job Description:
Our client is a well-established Event Management company in the KSA, specializing in creating and executing exceptional events that captivate audiences. They are seeking a skilled Logistics Supervisor to join their dynamic team in Riyadh.
The Logistics Supervisor will be responsible for overseeing all logistical aspects of event planning and execution, including transportation, shipping, ticketing, and on-site operations. This role ensures seamless coordination of equipment, materials, and staff, manages vendor relations, supervises the ticketing process, and ensures successful event setup and breakdown.

Key Responsibilities:

  1. Event Planning & Coordination:
    • Collaborate with the event management team to determine logistical needs, including transportation, shipping, equipment, materials, and ticketing.
    • Develop and maintain event schedules, timelines, and logistical plans.
  2. Shipping & Transportation Management:
    • Oversee the transportation and shipping of event materials, including equipment, promotional materials, and supplies, to and from the event location.
    • Ensure all items are securely packed, tracked, and shipped in compliance with the event schedule and legal requirements.
    • Manage transportation arrangements for attendees, VIPs, and staff, including airport pickups, shuttle services, accommodation, and special travel requirements.
  3. Logistics Management:
    • Oversee the setup and teardown of event infrastructure, including seating, stages, tents, and technical equipment (Audio, Visual, Lightning).
    • Ensure all logistical elements (e.g., catering, materials, signage) are properly coordinated and delivered on time.
  4. Vendor & Supplier Management:
    • Source, negotiate, and manage relationships with vendors for shipping and event logistics needs.
    • Ensure that all vendors meet deadlines and deliver on their contracts, addressing any issues that arise.
    • Verify that all logistics partners comply with health, safety, and legal regulations.
  5. Staff Supervision:
    • Recruit, train, and oversee a logistics team responsible for ticketing, shipping, on-site operations, and transportation.
    • Assign tasks to team members and ensure effective communication and coordination among staff.
    • Monitor staff performance and address issues during event setup, operations, and teardown.
  6. Budget & Resource Management:
    • Assist in developing the logistics budget for the event, tracking expenses related to shipping, ticketing, transportation, and materials.
    • Ensure all logistical operations stay within the allocated budget and maintain cost control.
    • Manage inventory for event equipment and supplies, ensuring accurate records of usage and procurement.
  7. On-Site Event Support:
    • Serve as the main point of contact for shipping, ticketing, and other logistical issues during the event.
    • Address any last-minute logistical adjustments, including transportation, ticketing, or equipment needs.
    • Oversee event dismantling, ensuring proper packing, shipping, and return of materials and equipment.
  8. Post-Event Evaluation:
    • Conduct post-event reviews to assess the performance of shipping, ticketing, and overall logistics operations.
    • Identify areas for improvement and provide feedback to the event management team and vendors.
    • Compile reports on logistics performance, including ticket sales, shipping efficiency, and budget tracking.

Key Qualifications:

  • Bachelors degree in a related field.
  • 3+ Years of experience in logistics and transportation coordination.
  • Experience in Event Management industry is a Must.
  • Ability to develop and maintain an efficient logistics schedule for several events simultaneously.
  • Arabic Speaker is preferred with English Fluency.
