Legal PA RIYADH
Brief
We are currently looking to recruit a Legal PA to join Pinsent Masons Saudi Arabia LLP based in Riyadh.
This is a full-time contract, Sunday to Thursday, 40 hours per week.
You will need to be fluent in Arabic and be a Saudi National.
Background
Pinsent Masons is an international law firm with over 25 offices globally. The firm has four offices in the Middle East: Abu Dhabi, Doha, Dubai, and Riyadh. Having obtained a foreign law license last year, the firm is building its team in Saudi Arabia. The current role supports the Corporate team in the Riyadh office.
Purpose of the role
Provide proactive and professional Legal PA support to the legal team. The services delivered should align with the firm's competitive environment.
This role embraces a team-working approach, collaborating with lawyers and Business Operations members to meet the firm's needs. While assigned to specific lawyers, a Legal PA will work with the entire team to ensure overall needs are met.
Support may be provided to staff across multiple business units, with the team structure subject to change.
Candidate Overview
- At least 3 years of PA experience in a busy environment, preferably in a law firm or professional services
- Willingness and enthusiasm to support the group and wider office
- High proficiency in Microsoft Office applications
- Tact and diplomacy in handling confidential matters
- Clear and effective communication skills, both verbal and written, at all levels
- Confident, organized, and proactive
- Bilingual in Arabic and English
Key Responsibilities:
Client Service
Your responsibility to deliver excellent service to our clients
- Build and maintain effective relationships with internal and external clients, understanding their business needs
- Participate in client service initiatives, including attending events and seminars
- Develop sector knowledge to support client service delivery
Planning & Organisation
Utilize your organizational skills to support lawyers with information management
- Regularly liaise with lawyers to identify work commitments and prioritize tasks
- Proactively take ownership of responsibilities and tasks
- Manage diaries and inboxes for lawyers, including arranging meetings, travel, and accommodations
- Monitor diaries, remind lawyers of commitments, and prepare supporting documents
- Coordinate with external travel providers and Business Operations for logistics
- Delegate tasks to support services to enhance efficiency
Managing Communications
Support lawyers in their communication with colleagues and clients
- Answer calls when lawyers are unavailable, take messages, and assist with non-legal queries
- Manage incoming emails, post, and voicemails, responding where appropriate
- Coordinate and draft non-legal correspondence and presentation materials
Document & File Management
Ensure high-quality documentation and accurate files
- Utilize Document Services effectively
- Coordinate document production, formatting, and version control
- Manage client files, including conflict checks and engagement letters
- Maintain files on FileSite, ensuring accurate and accessible records
- Regularly review and archive files as needed
Business Development & Relationship Management
Contribute to firm growth and client relationships
- Input practice group credentials into the database
- Organize and attend client events, conduct research, and prepare briefing packs
- Support lawyers with follow-ups, bid preparations, and maintaining contact details
Billing & Financial Management
Assist in managing legal matters and financial processes
- Attend meetings to take notes and track action points
- Support billing processes, including pre-bill requisitions and approvals
- Use Aderant to assist with financial queries and monitor account balances
PA/TA Team Support
Collaborate with and support other PAs and TAs
- Participate in team meetings and support during absences
- Coordinate and delegate tasks within the team
