We are thrilled to announce an exciting opportunity for a Leasing Admin Specialist to join our dynamic team. This position plays a vital role in supporting our leasing operations, ensuring efficient administrative processes and high-quality tenant service. The ideal candidate will exhibit excellent organisational abilities, attention to detail, and a strong foundation in property leasing administration.

Key Responsibilities in Leasing Administration

  1. Review contracts and make initial notes before sharing them with the legal department.
  2. Manage Ejar Platform Contracts Entry.
  3. Track critical dates such as renewal options, evacuations, rights to terminate, and expirations, and generate monthly reports and updates.
  4. Maintain internal reports and trackers of all signed and executed lease documents.
  5. Review contracts for expiry dates and communicate with real estate managers accordingly.
  6. Issue and receive official letters to tenants, ensuring proper archiving procedures.
  7. Keep accurate records, review information, consolidate reports, and take necessary actions.
  8. Collect and review documents submitted by clients.
  9. Network proactively with new and existing clients to maintain good relationships.
  10. Recommend marketing strategies and networking activities to improve leasing efforts.
  11. Follow up on tenant operational dates, including handovers, refurbishments, and recording of handover packs, instructions, and manuals.

Essential Skills and Qualifications

  1. Bachelor's degree in Business Administration, Real Estate, or related field.
  2. At least three years of experience in leasing administration or a similar role, preferably in real estate or consultancy sectors.
  3. Experience with database systems such as Yardi or Oracle.
  4. Relevant certifications or coursework in real estate administration are a plus.
  5. Excellent verbal and written communication skills in English and Arabic.
  6. Proficiency in Microsoft Office Suite; experience with real estate database/PMS is advantageous.
  7. Basic analytical skills for data review, reporting, and financial analysis.
  8. Strong interpersonal and teamwork skills.
  9. Ability to adapt to a fast-paced environment and meet deadlines.

Preferred Experience and Attributes

  1. Knowledge of industry-specific software such as Yardi, AppFolio, or similar platforms.
  2. Experience in preparing and managing lease documents and tenancy agreements.
  3. Familiarity with property leasing regulations and compliance.
  4. Analytical skills for leasing data assessment and strategic planning.
  5. Openness to learning new technologies and processes.
  6. Yardi system experience is preferred.
