Job Summary:

Under the guidance of the Assistant Human Resources Manager and the Director of Human Resources, the Human Resources Executive will support in driving daily HR operations. He/she will also support in strategic planning and execution of HR programs, activities and initiatives to ensure high level of colleague engagement while supporting the business objectives. He/she will be involved in the different HR functions including but not limited to employee / labor relations, payroll administration, onboarding, compensation and benefits. He / she will also provide support in recruitment, training and talent development and succession.

Essential Duties And Responsibilities:

  • Provide effective and efficient HR services to colleagues
  • Coordinate with designated travel agency and the colleagues related to travel requests; assist in booking leaves, emergency, business and related travel arrangements.
  • Ensure that employee database is accurate and updated at all times
  • Ensure end of service transactions is prepared and be accurate. Liaise with finance for payment of end of service as per exit schedule.
  • Assist with the hotel's official bank to facilitate bank account opening for new colleagues
  • Follow up on any colleague request in relation to bank transactions
  • Prepare letters requested by colleagues for various official and personal purposes
  • Plan and organize HR events and activities round the year
  • Provide assistance in employee grievance / disciplinary procedures
  • Assist in preparing the necessary documentation required for matters related to immigration such as residence permit applications, RP renewals, and applications for work visas, including medical examination, fingerprints and labor department.
  • Assist in acquiring documents to arrange tourist visa applications for all entertainers to support the government relations team
  • Support the Hotel Nurse in ensuring that all F&B staff have received their food handlers certificates and ensure validity
  • Assist in dealing with issues in relation to the hotel operations, from any ministries, government departments or owning company
  • Liaise with relevant embassies on recruitment and employee welfare issues
  • Establish and maintain effective colleague relations and provide guidance and assistance on matters relating to employee welfare
  • Support the Assistant HR Manager in the consistent review and update of hotel policies and procedures ensuring compliance to the local legislation
  • Keep the HR team updated on any changes in local law or legislation
  • Actively support the events of the Colleague Welfare Committee
  • Prepare HR-related reports when required
  • Complete any projects as assigned by the Assistant HR Manager and the Director of Human Resources
  • As a member of the HR team, be on call 24 hours a day for emergencies
  • Cooperate with the company to achieve compliance with FLS legislation
  • Take moral and legal responsibility for conducting themselves in their work so they do not expose themselves or others to risk
  • Not undertake any activity which compromises their personal FLS, or the FLS of others
  • Report all accidents, dangerous occurrences, or hazards, no matter how minor, to the supervisor or Heads of Department.
  • Assist Asst. HRM, Dir. HR and HOD's in selection and recruitment of best candidates in the market by conducting preliminary interviews for all candidates from Job Bands 6 to 10 vacancies.
  • Understand and master the use of My Recruit IHG certified e base for posting hotel vacancies. Ensure all job positing are done in consistency to the standards set by IHG and approved by the hotel.
  • Regularly check My Recruit for new candidates for the various open positions in the hotel. Provide timely feedback to applicants who fall short of our basic requirements and are considered rejected.
  • Ensure all personal requisition forms (PRF) are received for every position that need to be recruited by the hotel. That the PRF is accurately filled and duly signed by the required departments and top management.
  • Share the shortlisted candidates with the appropriate departments and follow up on the interview process.
  • Responsible for implementing the Candidate Care processes to ensure both external candidates and employees experience the IHG Commitment, Room to be yourself
  • Prepare employment contract (EC) for all selected employees and follow-up with applicant on the receipt and acceptance of the same
  • Conduct reference check for shortlisted candidates, prior to sending offer letter.
  • Follow up with applicants who have confirmed their intension for employment for required documents like: Medical certificate, educational certificate, police clearance etc. as per the requirement of the Govt. Relations Manager.
  • Assist in preparing the necessary documentation required for issues with immigration, such as the residence permit applications, RP renewals, and applications for work visa's, including medical examination, finger prints and labor department.
  • Ensure housing for all incoming colleagues is available as per job category, coordinate with housing team to ensure airport pickup and onboarding of new employees is done as per the set standards of Room to have a Great Start of the hotel.
  • Welcome all new joiners and co-ordinate with HR team to introduce them to the HR team and their individual department teams. And ensures that all HR related policies, house rules, country rules and IHG code of ethics are explained to new colleagues through IHG orientation.
  • Prepare report on all recruitment activities and updates the Asst. HR Manager/ DHR and hotel HODs on a weekly basis
  • Prepares and displays monthly hot jobs vacancies and internal vacancies and display's them on the appropriate notice boards for all colleagues to see.
  • Monitor and provide necessary documentation in regards to the employee referral policy thus ensuring colleagues who have referred their friends for employment and post-employment have completed 1 month in service receive their incentive.
  • Communicates and coordinates with recruitment agencies regularly to maintain a healthy pool for future candidates. Advices DHR on contract terms on regular basis.
  • Processes and monitors all internal transfers and promotions and ensures proper paperwork is in place and makes necessary changes in payroll system.
  • Enroll the employee in hotel payroll system and in the time attendance system to ensure accurate tracking of working hours and for emergency FLS issues.
  • Forward relevant documents to HR Coordinator, Hotel Nurse, Govt. Relations Manager and Finance for processing of resident work permits, insurance cards, pay cards/ bank accounts, salary.
  • Coordinate with designated travel agency for colleagues travel requests, new arrivals, end of service (if entitled) entertainers and business travel arrangement.
  • Ensure End of service transactions is prepared and be accurate. Liaise with finance for payment of end of service and Government Relations Manager for visa cancellation as per exit schedule.
  • Arranges all exit visa's following the related P&P and communicating details to appropriate parties at least 72 hours prior to departure, or in case of emergency leave at the earliest possible opportunity
  • Supports the DHR & Asst. HR Manager in the continued review of hotel policies and procedures, based on the full knowledge of local law and legislation, liaising with the Qatari Labor department on a regular basis for updates and changes
  • Conversant with all tasks of the Personnel Clerk and Administrator, including Owasys HR System
  • As a member of the HR team on call 24 hours a day for emergencies
  • Prepares the monthly HR/ Resourcing Metrics with Asst. HRM for submission to the DHR.
  • Is an integral part of the HR team and participates in all team building activities.
  • Performs all additional tasks as directed by the Human Resources Management Team.
  • Co-operate with the company to achieve compliance with FLS legislation.

  • Comply with Hotel Rules and Regulations and provisions contained in the Employment Handbook
  • Comply with Company Grooming Standards at all times to portray a professional image of self and the hotel.
  • Comply with time and attendance policies set by the hotel.
  • Actively participate in training and development programs and maximize opportunities for self-development.
  • Demonstrate understanding and awareness of all policies and procedures relating to Health, Hygiene and Fire Life Safety
  • Familiarize yourself with emergency and evacuation procedures
  • Ensure all security incidents, accidents and near misses are always logged in a timely manner and brought to the attention of the Line Manager
  • Comply with the Company's Corporate Code of Conduct
  • Familiarize self with the company values and model desired behaviors and ways of working.
  • Perform all tasks as directed by the Manager in pursuit of the achievement of business goals
