Job Description - Groups and Events Coordinator (HOT0BJSC)

The Groups and Events Coordinator is responsible for managing group and event bookings at the hotel, acting as a liaison between clients and the hotel's commercial and operational teams. This role involves coordinating with clients from initial contact through to the conclusion of events, ensuring all goals are met efficiently.

Work Location

DoubleTree by Hilton Madinah Gate Madinah Station, located at Al Hadra District, Madinah Railway Station.

Key Responsibilities
  • Receive and manage groups and events, maintaining up-to-date records
  • Draft and finalize contracts for groups and events
  • Input Rooming Lists, update payment instructions, and record relevant group information in the system
  • Negotiate budgets with clients
  • Create detailed work orders for events in the system
  • Conduct briefings with groups covering all relevant details (capacity, category, pricing, payment methods, contacts, special notes)
  • Prepare monthly reports and closeout documentation for groups
  • Collaborate with Account Managers, Sales Coordinators, Reservations, Front Desk, Event Departments, Hilton Meetings, and Kitchen teams
  • Engage directly with guests or clients during events
  • Participate in special activities such as cocktail receptions and welcome tours
  • Ensure prompt and efficient response to all client requests
Qualifications
  • Degree or MBA in Management, Hospitality, or Marketing
  • Previous experience in sales, groups, and events, preferably in hospitality
  • Strong multitasking and problem-solving skills
  • Excellent organizational and planning abilities
  • Proficiency in MS Office (Excel, PowerPoint, Word)
  • Proactive with a focus on meeting deadlines and objectives
